Your Specific Responsibilities:
This position provides support to the Records Management Analyst – SES and Operation Manager II SES to ensure the smooth operation of the department. Interviews clients, evaluates income, family status and insurance to determine need and eligibility for health department services, PEPW Medicaid, and /or FP Waiver Medicaid. Initiates and completes necessary forms to open electronic charts, document eligibility and process yearly financial eligibility updates. Uses Availity and FLMMIS to verify current coverage of insurance. Uses WAGES, Unemployment, Medicaid System, and client paystubs or other financial documentation to determine client SFS. Checks clients in for appointments. Provides information on various clinic services and eligibility for thoseservices. Assist clients who want to change from their current provider to the health department as their primary care provider.Assist clients with completing the Healthy Kids application. Inputs client's original demographic information into HMS via FLSHOTS. Updates demographics in both systems as changes occur. Ensures appropriate verification of client identification andchanges are scanned into electronic chart. Ensures all records and lab slips have updated labels before routing client to clinic.Ensures correct client status is designated on each electronic chart every visit. Performs Medical Release through appointments inQFLOW.
Schedules appointments (including Foreign Travel) via walk-in clients, and client calls and messages. Registers new clients forappointments through FL SHOTS. Schedules existing clients requesting appointments through HMS. Ensures insurance and eligibility requirements for Health Department services are verified each time a client calls for an appointment. Queries patients to determine the proper clinic for services.Checks clients in for shots, PPDs, Quantiferon, and shot transfers. Updates demographic info, verifies insurance, adds/updates insurance into HMS, and adds additional family members into household. Processes shot record transfers into FLSHOTS includingforeign and out of state records.clients for Refugee Health Program (RHA) eligibility by reviewing county of origin, date of entry, type of entry, etc.,collects appropriate paperwork or reviews website for I-94 documentation, updates alien number, schedules initial and follow-up appointments and immunization appointments, uses appropriate service codes to indicate status of client (i.e., no show,completed), checks clients in, and processes medical releases. Interprets and returns call for program.Answers multi-line switchboard, ensuring calls are answered promptly, professionally, courteously, and are routed to the appropriate areas.
Performs receptionist duties for QLOW, including verifying, scheduling, adding, and checking appointments into the system. Acts as front-line receptionist assisting clients with information regarding the Health Department, checking Medicaid and third-party insurance to ensure eligibility for HD services, making appointments, and performing any additional duties not specificallydesignated here to ensure smooth front desk flow.
Provides back-up/rotates coverage for the switchboard, front desk and appointment desk, assisting with breaks and coverage during staff absences and extended clinic hours as scheduled. Performs related work as required. Backs up other Medical Records staff as needed.
It is primary coverage to SW and Alachua Clinics.
Scans all clinical documents into HMS. Utilizes progress note to advise other DOH staff of additional approval and/or actions thatneed to be performed on client case. Ensures HEDIS calls are made, letters sent if appropriate and logged correctly.Responsible for securing the designated information sets for purposes of protecting confidentiality, data integrity, and access for all information, both confidential and public record, which is stored in hard copy or electronic format.

Required Knowledge, Skills, and Abilities:
Knowledge of computer software (EHR, Microsoft Word, Excel, HMS, FLMMIS, FLSHOTS, AVAILITY, WAGES, 3rd party insurance websites).
Strong customer service skills, ability to work with the public.
Ability to work collaboratively within a team environment.
Skilled at data entry.

Qualifications:
Minimum - .
Must be willing to work an 8-hour shift that may start as early as 7:30 am and end as late as 5:00 pm, Monday through Friday, with a ½ or 1 hour
lunch.
Must have at least one year of experience using computers and computer programs such as Word, Excel, or Medical Client databases.
Preferred - Knowledge of Immunizations, Medical Release, and electronic health records.
Experience verifying Florida Medicaid, Medicare, or third-party insurance coverage through FLMMIS, Availity or other electronic method.
Experience scheduling appointments through an Electronic Health Record.
Experience with Florida Shots.
Bilingual
