Your Specific Responsibilities:
WIC is the Supplemental Nutrition Program for Women, Infants and Children. The Alachua WIC Program covers a 10-county area that includes 13 clinic sites. This position is responsible for the coordination and implementation of the WIC/Breastfeeding Program training plans. This position will coordinate with supervisors and Program Manager to determine appropriate trainings, training methods, times, and coordination of programs.
Training:
- Develops and maintains training curriculum.
- Maintains current knowledge of the Federal WIC Program regulations including WIC memos, WIC data system guide, and the DOH Manual 150-24.
- Maintains required documentation and records of trainings completed for staff.
- Provides mandatory WIC and other program related training not available in the TRAIN system.
- Acts as liaison between HR TRAIN manager and WIC staff to ensure annual trainings are completed.
- Assists WIC Participants and WIC employees with the WIC Direct and WIC EBT benefits activations/reactivations.
- Provides new employee training on all WIC/ Breastfeeding specific programs, policies, and procedures.
- Acts as liaison between State offices to ensure compliance of updated policies and procedures.
- Coordination of staff access to all WIC Programs and DOH programs, Submits Network Access and Badge Access requests.
Provides training to all employees in each area of the program, including but not limited to the following:
- Call center/appointment scheduling
- Client eligibility
- anthropometic measurements, Hemoglobinometer
- WIC benefits and the rights of participants
- FL-WiSE computer system use
Data Management:
- Works with Program Manager and site coordinators to determine necessary trainings.
- Assists supervisor with revising procedures and providing updates for new policies.
- Updates, maintains, coordinates, and disperses procedure and guideline manual to all staff as updated.
- Monitors FL-WiSE Benefit Over- Issuance Report twice daily, investigates and reports any errors, and will provide corrective training for staff.
- Sending, receiving, and documenting electronic documentation submitted by clients. Uploading past and present electronic documentation into FL-WiSE System
Other duties:
- Coordinates and monitors all aspects of Quality Assurance
-Completes assigned QA reports by deadlines to include: User role report, Non-participation report and Civil Right compliance report
-Collects the daily no show reports from clinic and compiles data for WIC Director
-Completes the Expiring Short Certification Report Quarterly and Processing Standards Report monthly
- Assists the WIC Coordinator to endure that local self-reviews and state monitoring are conducted and that any corrective action as determined is completed. Represents supervisor at meetings to furnish or obtain information.
-Prepares the weekly schedule for WIC staff. Creates, monitors, and pushes out the monthly clinic templates in FLWise. Creates, monitors, and updates clinic operating schedule.
- Point of contact for employees calling out of work in the morning. Reassign staff as necessary to cover absences
-Transports sharps container from the Alachua Elementary clinic. Updates the biomedical waste binders annually for all clinics.
-Once a quarter, creates customer service survey and enters results daily in data base.
-Serves as backup to call center
-Serves as clerical back up to clinic
Responsible for securing the designated information sets for the purpose of protecting confidentiality, data integrity and appropriate access for all information both confidential and public record, which is stored in hard copy or electronic formats. Completes EARS and timesheets on a weekly basis and completes certification. Completes mandatory meetings and trainings as designated by State, Federal, WIC, and local authority by deadline assigned.

Qualifications:
Minimum – .Customer service experience
Preferred – 5 years working with WIC.
