Your Specific Responsibilities:
Admitting Clerk duties:
Performs Immunization intake duties which require interaction with clients and staff regarding immunization services for children and adults. These duties include, but are not limited to:

- Greeting, providing information to and instructing clients
- Registering and updating client demographic and insurance information in the Health Management System (HMS) and the Florida SHOTS registry; checks clients in and routes clients through clinic for assistance
- Entering immunization history information in the Florida shots registry
- Cashiering - handling payments by credit card, cash and checks, maintaining security of funds and accuracy of charges, posting, and deposits.
- Faxing and receiving of faxed information; maintaining confidentiality and security of client information
- Receiving phone calls and providing program information or routing calls to appropriate person or program and returning voicemail messages for missed calls within 24 hours.
- Completes scanning of documents daily on all clients new and established; scanning required documents to HMS folder to supplement client electronic record.
- Performing insurance billing after determining insurance eligibility
- Verifies insurance eligibility by using Change, HMS or Availity; checks for updates and enters insurance data into HMS.
- Assisting clients with application for patient assistance by vaccine manufacturers for vaccine provision
- Employee will be cross trained for all clerical positions, including the processing of eligibility paperwork and application for client needing Medicaid for Pregnancy (PEPW).
- Interviews applicants to determine types of services needed, processes eligibility when necessary
- Schedules, Reschedules or Cancels clinic appointments when needed.
- Responsible for providing generalized clerical services in all programs including: clinic appointments, registrations of all incoming clients to include financial eligibility, completing all necessary consent forms per program protocol, answering telephones calls using proper etiquette and routing to appropriate personnel or taking accurate messages..
- Refers clients to various related agencies for assistant, by phone or in person.
Immunization Support duties:
Receives verifies and appropriately stores vaccines; data enters all doses received into the Immunization module inventory, assuring accuracy of data entry; tracks vaccine usage, researching missing doses of vaccine, reporting wasted doses of vaccines; performs physical vaccine inventory and submits monthly accountability report to Immunization Program Manager.
Manages client record duplicate report, monitors refrigerator and freezer temperatures, receiving and responding to automated notifications of temperature excursions, and taking and documenting appropriate actions for vaccine safety when temperatures remain out of range during normal business hours, maintain thermometers in certified status, inventory management and accountability.
Runs reports from FL SHOTS Immunization Module and HMS as needed or requested by Supervisor for review and analysis for programmatic decision, productivity, quality improvement, budget or other identified purposes.
Provided technical assistant and training for basic computer issues with Florida SHOTS registry. Participates in Immunizations outreach events and evening clinics.
Serves as back up for Health Administrative Assistant, duties will include running reports in FL SHOTS for the Two Year Old Immunization Coverage Assessment and Monthly Vaccine Utilization Report.
Assists with orientation/training of clerical staff as directed. If, eligible, translation services will be provided to clients and in-hours staff.
Performs other related duties as required.
