Position Overview

This is a highly responsible administrative position providing organizational and secretarial support for the Chief of Licensing and the Licensing support staff within the Office of licensing. The successful candidate will serve as the primary point of coordination for our technical team, ensuring smooth daily operations through effective communication, procurement, and asset management.

PLEASE NOTE: This is NOT a telework position. The selected candidate will be required to work on-site in the office.

Primary Responsibilities

  • Communication & Coordination: Screen and direct telephone calls and visitors; provide information, resolve routine issues, or route callers to the appropriate Information Systems personnel.
  • Scheduling: Assist the COL with scheduling staff meetings, vendor meetings, and managing staff whereabouts.
  • Procurement: Coordinate purchases using the MyFloridaMarketPlace (MFMP) system, including working with vendors for quotes and maintaining printer toner supplies.
  • Inventory Tracking: Track and maintain the department’s technology inventory to ensure all assets are accounted for.
  • Administrative Support: Compose and type correspondence (Word, Excel, Outlook, Acrobat), handle incoming mail, and perform document scanning while observing strict confidentiality.

Required Knowledge, Skills, and Abilities

  • Working knowledge of general office practices and procedures.
  • Demonstrated proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced IT environment.

Minimum Qualifications:

  1. A high school diploma or its equivalent.
  2. A Basic understanding of Microsoft Office Products.

Relevant work experience or technical certifications  may be used to demonstrate the required knowledge, but are not strictly required for applicants who demonstrate the aptitude to be trained in the specific duties of the EOG.
