This a highly professional and technical position acting as the database system administrator for the Environmental Health & Safety Division and reports directly to the Administrative Support Supervisor. Incumbent shall maintain the current and future reporting and database systems and any local area hardware and peripheral office equipment for the Environmental Health and Safety Division.

Responsible for organizing files by date/ address or other format, scanning original documents, naming files and organizing documents into an existing file structure to create a comprehensive digital filing system for Environmental Health records in all program areas. Responsible for preparing paper records for archival storage in accordance with existing processes and procedures and record retention schedules or discard using proper disposal methods. If applicable, attach digital files to the Environmental Health Database for future access. Manually and electronically files incoming documents related to divisional activities, assists with electronic generation of public notification letters. The position is also responsible for the use of scanning equipment/ software for digital documentation and has a working knowledge of the records boxing and storage procedure.
Operates all components of internal databases used by the Environmental Health Division and all Divisional peripheral office equipment. Serves as EHD Database System Administrator for the Environmental Health and Safety Division. Incumbent must communicate effectively with department heads to determine the current needs and future goals of each section to maximize the utilization of the computer system and act as a direct liaison with the state and local offices. As EHD Administrator, responsible for the development and production of all Divisional billing for all Environmental Health programs within the Division. Position works closely with the Environmental Managers regarding all billed accounts for the Division to ensure all applicable fees for services are charged accordingly.
This position performs various clerical duties in accordance with standard procedures for all EH programs. Responsible for answering office phones promptly and in a professional and courteous manner, referring calls to the appropriate person, Division, or agency. Takes accurate and complete messages, answers routine questions, and provides directions to the department when needed. Responsible for the prompt and accurate preparation of all Divisional programmatic correspondence to internal/ external clients and various public officials. May be required to prepare travel authorizations and reimbursement forms, files all divisional correspondence and information in designated areas and maintains files in an accurate and professional manner.
Assist in the development of reports generated from the network databases to ensure compliance with policies and procedures. Produces reports at the request of management regarding billing, facility details and productivity for all Divisional programs.
Coordinates and tracks all service request related to IT functions for the Division and communicates / acts as liaison for all outside vendors servicing any peripheral equipment for the Division.
Performs other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Methods of data collection and analysis and basic management principles and practices.
- The ability to collect, evaluate and analyze data, organize data into reports, documents, and other written materials, utilize problem-solving techniques, understand and apply applicable rules, regulations, policies and procedures.
- Must be proficient in EHD, Microsoft Office, MS Visio, Adobe Pro, Crystal Reports, Report Writer and related software.
- Proficient in the use of office equipment - scanner/copier, ability to work independently with minimal supervision
Qualifications:
Minimum:
- Must have computer skills including but not limited to Microsoft Office or other data processing skills.
- Must have positive customer service skills.
- Must be familiar with cashier processes to include basic math skill
- At least a High School Diploma or GED equivalent
