This specialized, independent professional role provides high-level support to the Medical Executive Director and the DOH-Duval Director of Nursing. The position assists with activities across the divisions and programs they oversee. Responsibilities include researching and gathering data, preparing written reports, and developing spreadsheets or other analytical tools as needed. The role requires sound independent judgment in carrying out established administrative policies and procedures. The incumbent is also responsible for data management, tracking, and analysis to support program operations and decision-making.
Public Health Competency Domain 1: Analytical/Assessment skills
- Develop plans to accomplish work, including prioritizing and organizing tasks.
- Maintains databases, prepares data reports, and validates data.
- Assists with completion and maintenance of Private School Immunization reports.
- Designs and prepare reports and presentations.
- Maintains and updates mandatory training logs, licensure records, protocols, and on -call schedules.
- Assists in maintaining shared drives, folders, and policy task lists.
- Provides data and tracking management analysis to support program operations.
Public Health Competency Domain 2: Policy development/Program planning skills
- Assists the Medical Director and Director of Nursing with creating, reviewing, modifying, and submitting personnel action
- requests (PARs) and position descriptions.
- Supports hiring managers in adhering to rules, policies, and procedures during recruitment, interviewing, and
- onboarding.
- Maintains credentialing processes for physicians and clinicians.
- Participates in the DOH-Duval Disaster Plan as required.
- Assists in maintaining policies and policy task lists.

- Acts as office receptionist and routes calls to appropriate staff.
- Opens, routes, and delivers incoming and outgoing mail.
- Assists with clinical fax requests and routes them appropriately.
- Composes, types, and edits correspondence, memoranda, reports, travel vouchers, purchase requisitions, work orders, forms, training materials, labels, and other documents.
- Records meeting minutes and serves as back-up for conference calls and meetings.
- Coordinates meetings, including gathering materials, developing agendas, and tracking action items.

- Assists with Private School Immunization reporting, supporting community health compliance.

- Order supplies for Medical/Nursing Leadership staff and maintains inventory.
- Processes purchase requisitions and reconciliations in accordance with organizational policies.
- Uses ARIBA Spend Management to order supplies and guide clinical staff.
- Assists with maintaining annual purchase orders, gathering quotes, and reconciling monthly invoices.
- Manages SMTS (travel system).
- Supports recruitment processes including application scoring, veteran's preference documentation, reference checks, license verification, and background screening coordination.
Public Health Competency Domain 8: Leadership and Systems Thinking skills
- Provides administrative and operational support to executive leadership (Medical Director and DON).
- Make independent decisions within established policies and procedures.
- Serves as information and key custodian for the Nursing Leadership Office.
- Coordinates calendars for the Medical Director and DON.
- Supports system-level processes such as credentialing, onboarding, compliance tracking, and policy maintenance.

Required Knowledge, Skills, and Abilities:
Knowledge
- Knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Knowledge of People First or similar HR information systems.
- Knowledge of alphabetical and numerical filing systems.
- Knowledge of standard office practices, procedures, and administrative workflows.
Skills
- Skills in computer usage, including data entry, document creation, and spreadsheet development.

- Strong organizational skills with attention to accuracy and detail.
- Skill in operating standard office equipment (printers, scanners, copiers, fax machines).

Qualifications:
Minimum:
- A valid driver’s license.
- Must have at least 3 years of experience performing functions as an administrative assistant.
- Must have at least 3 years of experience developing written content for business materials, communications and reports.
- Must have at least 3 years of experience working in the following applications: Excel, Word, PowerPoint and Outlook.
- Must have at least 3 years of customer service experience.
