Our Organization and Mission: The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States.
Position Summary: This position functions as the receptionist for the Jacksonville Office of the Attorney General. It is an entry level support position that requires good communication skills (both verbal and written), strong organizational skills and the ability to multitask effectively.
Pay: $15.00 Hourly.
Qualifications:
- Three years of secretarial or clerical work experience; or
- A high school diploma or its equivalent and 1 year of secretarial/administrative experience.
- College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience; or
- Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
Preference will be given to applicants with the following:
- Experience working as a receptionist or file clerk
- Experience working in a law firm or business office, in a support role
- Experience working with the public in a customer service type role
- Applicants who have demonstrated good spelling and grammar skills in their application
An administrative skills exercise will be administered as part of the selection process. In order to advance to the next stage of the selection process a passing score of 50% is required.
The Work You Will Do:
This position will include the following responsibilities:
Receptionist duties for the Florida Attorney General's office in Jacksonville answering a multi-line phone; receiving calls and directing them accordingly, making a judgment on the priority of calls. Communicate, by telephone or in person, with the public and the staff on behalf of the Office of the Attorney General.
This involves, but is not limited to, greeting visitors to the office; transmitting messages; referring persons to appropriate staff members; independently answering telephone inquiries that do not require legal conclusions or legal advice; when necessary or appropriate, referring consumers and government officials to appropriate state or federal agencies.
Receive, review, log and distribute mail, making preliminary judgments as to relative importance and urgency of response required. Handle the daily incoming and outgoing mail and UPS/FedEx/Express packages.
Other administrative support tasks that may be assigned from the Consumer Protection Division:
- Assisting with maintaining office supplies and ordering as needed prior to supplies being depleted. Assist with processing invoices for payment; ordering business cards for new staff and upon promotions; ordering supplies for the copier and placing service calls.
- Preparing letters, memos, etc. from oral or written communications, for distribution, both inside and outside the department.
- Monitor the correspondence database, route complaints for review accordingly, and ensure timely responses to the consumers.
- Setting up video conferences and arranging conference call in numbers and cleaning up the conference room after meetings.
- Assisting attorneys and investigators with case time entries.
- Assisting with uploading documents and indexing them in OnBase.
- Assisting with travel and expense approvals, travel arrangements, and expense reimbursements.
- Perform other secretarial duties required, such as copying, preparing materials for mailing, shredding documents, preparing cases for archiving, bates stamping, and assisting attorneys and investigators with administrative tasks when needed.
