Your Specific Responsibilities:
This is entry to intermediate level work. At this level, employee may perform a full range of assignments under direct supervision or perform a narrow range of assignments independently under general supervision. The incumbent performs duties that are well defined with established practices and clearcut policies. The work requires applying a general knowledge of business practices to a variety of practical situations. The employee must use skill in applying instructions to accomplish different job functions or in operating machines for a variety of different purposes. Errors may cause inaccuracies in reports, records or technical data and may cause work delays to some aspect of the operation; however, errors are usually detected before the result becomes serious.
Duties include: Perform accurately complex patient registration; Verify validity of documentation of clients’ eligibility for Family Planning Tubal Ligation and Vasectomy (TVL) Program. Performs client registration accurately in HMS (i.e. verify demographic and insurance information). Schedules/reschedules appointments with/for Family Planning TLV Registered Nurse after ensuring that financial eligibility guidelines have been met (this includes scheduling or rescheduling the clients’ appointments in the absence of the Registered Nurse as needed and clients’ for DOH clinic/s). Maintain clients’ logs. Prepare paperwork for new and return clients before their scheduled appointment. As clients register for service, initiate the appropriate encounter form/registration form and update demographics. Copy eligibility papers and other appropriate papers received. Route paperwork to proper departments through UF Health and other assigned clinic sites. Scan medical records into HMS ad required.
This position is responsible for scheduling newborn appointments within 72 hours of hospital discharge & post-partum visits within 6-8 weeks at Florida DOH-Duval clinics. The employee is responsible for visiting clients at mother-baby unit at UF Health Hospital as identified by clinic staff and UF Health staff, following the DOH-Duval process for eligibility and adhering to the scheduling template. In addition to scheduling appointments the employee with provide the clients with newborn appointment cards and information pertaining to additional services that DOH[1]Duval provides. Consult wit Program Administrator or Human Service Counselor if necessary.
Provide basic information/education materials to individuals and/or families about family planning sterilization and family planning services. Refers clients’ from UF Health to the DOH-Duval Health Centers for Family Planning services and financial eligibility determination as needed.
Conduct client satisfaction surveys post-sterilization to assess program effectiveness for UF Health Family Planning Services/general Family Planning services.
Assist with entering data for other Family Planning Program projects/MCH grants, purchasing, as needed or requested, by the Program Administrator or Registered Nurse.
Attends in-service education, staff meetings and health promotion activities as directed.
Maintains cooperation between public and professional agencies. Serves as information and key Custodian.
Perform limited and necessary travel in relation to duties and for professional development.
Performs all other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Knowledge of administrative and clerical procedures and systems
- Knowledge of computer software including applications
- Knowing how to find information and identifying essential information
- Ability to communicate effectively.
- Ability to establish and maintain effective working relationships with others.
Qualifications:
Minimum -
- Must be willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
- Must have at least one year of experience working in a doctor's office/clinic working in a front desk clerical position.
- Must have at least one year of experience verifying and authorizing medical insurance.
- Must have a valid/Unrestricted Driver's License – State of Florida license preferred.
