Fiscal Administration I

 

General Duties :

  • Prepare supporting documentation for invoices i.e., perform redactions on payroll details, extract specific pages, data entry into E-Grants system and financial tracking sheets, etc.
  • Send monthly reminders to staff to collect timesheets and PMT reports and data (and include the timesheet/PMT report templates in the e-mail)
  • Collect timesheets, PMT reports and supporting payroll documentation from staff by deadlines and file in appropriate folders; notify Grants manager of completion and/or any issues
  • Update provider contact forms; maintain lists of staff on respective projects as directed by Grants Manager
  • Perform basic research for grant applications as requested (i.e., information from UCR, etc.)
  • Run grant reports in STAC for reporting and fill in reporting templates with such data; maintain reporting files
  • Gather and provide specific conference information from staff requests to Grants Manager for grantor approvals  
  • Assist attorneys and staff with travel documentation for conferences in accordance with Business Office policies 
  • Handle scheduling/calendar for staff meetings, sub-recipient monitoring and other grant related meetings.
  • Distribute agendas for staff meetings

 

SAKI Duties:

 

  • Handle scheduling/calendar for MDT, SAKI monthly check-in, sub-recipient monitoring and other SAKI meetings
  • Take and record attendance at MDT meetings
  • Distribute MDT agendas and minutes
  • Administrative assistance for MDT presentations i.e., prepare and display data charts, etc.
  • Prepare and maintain Excel spreadsheets to track grant related data 

 

Education and Experience Requirements:

 

  • A high school diploma or equivalency and one (1) year of bookkeeping, clerical or accounting experience or an equivalent combination of training and experience
