POSITION SUMMARY:

The Administrative Assistant II provides advanced administrative and operational support to the Seized Drugs section of the crime laboratory. This role supports laboratory leadership and staff by coordinating documentation, maintaining accurate records, and assisting with processes that ensure compliance with departmental, legal, and regulatory standards. The position requires strong facilitation and customer service skills, the ability to manage sensitive information with discretion, and a high level of accuracy when working with criminal history and case‑related data. Working with minimal supervision, the Administrative Assistant II contributes to the efficiency of the section by supporting research activities, communicating with customers, and helping maintain procedural compliance documentation.

 

DUTIES & RESPONSIBILITIES:

Specific duties include:

  • Providing assistance to law enforcement and criminal justice agencies through phone calls and emails in a courteous and timely manner;
  • Assisting with Public Record Requests;
  • Assisting with preparation of analyst reports;
  • Coordinating upkeep of section files, including conversion of paper files into electronic documentation;
  • Keeping laboratory clean and organized;
  • Coordinating purchases of office supplies;
  • Providing assistance to direct supervisors on various projects; and 
  • Maintaining records of subpoenas.

 

To be considered as a potential candidate, you must meet the minimum qualifications(s) listed below. Degrees must be from an accredited college or university as recognized by the U.S. Department of Education.

 

KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of Microsoft Office computer software and applications;
  • Knowledge of administrative principles and practices;
  • Ability to collect, evaluate and analyze data relating to administrative functions such as personnel and purchasing;
  • Ability to prepare correspondence and administrative reports;
  • Ability to work independently;
  • Ability to plan, organize and coordinate work assignments;
  • Ability to communicate effectively verbally and in writing; and
  • Ability to establish and maintain effective working relationships with others.

BACKGROUND:

FDLE requires an extensive background process of all recommended applicants. The elements of a background include: financial credit check, criminal history of applicant and applicant’s immediate family or roommates, personal references, employment and education verifications (which includes official transcript(s)), drug screen and fingerprinting.  This information will be utilized to make the final hiring decision.

 

NOTES:

Preference will be given to current FDLE members who have satisfactorily completed at least six months of the probationary period for their current position.
