MINIMUM REQUIREMENTS:

 

A bachelor’s degree from an accredited college or university and one (1) year of administrative experience; or

 

A master’s degree from an accredited college or university can substitute for the required experience; or

 

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

 

An equivalent combination of education and experience which equals five (5) years can substitute for the above requirements.

 

Requires possession of a valid class E driver license.

JOB DUTIES:

 

This is an advanced administrative position, which is responsible for all administrative and personnel related functions within the Suwannee Forestry Center.  The incumbent serves as the Center liaison to the FFS and the department personnel sections in Tallahassee.  The incumbent in this position handles a variety of confidential matters that require discretion and professionalism at all times. This position assists the Center Manager with the research, development and implementation of subject matters relating to collective bargaining issues.

 

Recruitment and Hiring Process – Processes separation paperwork for employees who resign, retire or are terminated from employment.  Tracks position vacancies.  Updates and submits position description changes.  Modifies and approves requisitions for job postings in People First.  Screens and reviews applications for vacant positions with supervisors.  Schedules interviews and assists supervisor with work samples.  Obtains reference checks.  Prepares and submits employment packages to Personnel for approval.  Arranges for any pre-employment requirements, such as drug testing, medical exams and fitness testing to be completed.  Completes and submits new employee signup paperwork.

 

Personnel Issues/Center Liaison – Assists supervisors and manager in preparing Special Pay Increase (SPI) and disciplinary action paperwork.  Records and tracks performance evaluation information.  Collects and submits to Personnel a variety of acknowledgment forms, annual outside employment forms, etc.  Assists employees by answering their questions regarding insurance, retirement, benefits, deferred compensation programs, etc.  Maintains employee personnel files.

 

Attendance and Leave and Medical Matters – Ensures Leave Without Pay (LWOP) timesheets are submitted and approved in a timely manner.  Serves as Workers’ Compensation (WC) liaison; submits completed incident reports and compiles accident and injury information for local Safety Officer.  Assists supervisors with obtaining necessary doctors’ notes and completing modified duty paperwork.  Assists employees and supervisors with completing of forms and timesheets relating to the Sick Leave Transfer (SLT) program and the Sick Leave Pool (SLP) program.  Coordinates with doctors’ offices, laboratories and supervisors to conduct random and pre-employment drug and alcohol testing, pre-employment physicals, and annual medical exams.  Prepares leave summary reports for Center Manager.

 

Other Administrative Functions - Keeps up to date on department and FFS policy and procedures.  Maintains up to date employee lists.  Issues and tracks forest officer receipt books.  Provides administrative assistance to the Center Manager, administrators and other supervisory personnel.

 

Performs other related work as assigned, which may include the handling of revenue.
