Description of duties: THIS IS A PART TIME OPS POSITION. IT IS NOT CAREER SERVICE, 

 

The Division of Habitat and Species Conservation is comprised of six Sections and two offices. An exciting opportunity exists for a Staff Assistant to join the team of employees wihin the Wildlife and Habitat Management Section at the Southwest Regional Office. This position provides secretarial and staff support for the regional wildlife biologist and other section staff including the assistant regional wildlife biologist and district wildlife biologists. Activities in support of these positions shall include:entering monthly reports into appropriate databases; preparing, composing and tracking all correspondence (letters, memoranda, permits, applications); researching and assembling data for reports and administrative decisions; assisting staff with questions regarding established policies and procedures to ensure compliance and consistency; processing invoices, requisitions, purchasing card charges and other administrative paperwork; organizing, maintaining and updating hard copy and electronic files of all project related activities and personnel records; routine clerical support including receiving and properly routing incoming mail, handling outgoing correspondence, maintaining stocks of office supplies, and photocopying; maintains calendars and making meeting or travel arrangements; assists with procurement of commodities and services; and, serving as liaison with field offices and personnel on administrative and clerical procedures; responds to requests for publications, rules, status of projects and other information; records and distributes messages/information; provides assistance to other sections/offices/divisions; completes other duties as assigned or needed.

 

This position will also assist the Regional Service Center in various administrative duties as assigned.

 

Knowledge, Skills, and Abilities:

  • Ability to work in a professional office environment
  • Experience with computers and common software such as Microsoft Word, Excel, and Outlook
  • Strong communication skills
  • Ability to work in a team setting
  • Secretarial, accounting, and/or bookkeeping experience
  • Strong customer service skills
