MINIMUM QUALIFICATIONS

  • One (1) year of employment experience working in a professional office environment performing administrative or clerical functions.
  • One (1) year of employment experience communicating with internal and external customers, both verbally and in writing.
  • One (1) year of employment experience preparing correspondence and documentation and computer proficiency including Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Ability to work independently.
  • Ability to research policies and procedures and communicate findings.
  • Ability and desire to work in an extremely fast-paced, team environment.
  • Ability to multi-task, prioritize and meet deadlines.
  • Must possess excellent customer service and interpersonal skills.
  • Must be willing and able to report to work during hurricanes and other national disasters as needed.
  • Must be willing and able to maintain confidentiality.
  • Successful completion of the employment screening process to include, but not limited to, a national background investigation and drug test.‎

 

PREFERRED QUALIFICATIONS:

Preference will be given to candidates with the following qualifications:

  • Experience working with the State Florida Human Resources Information System (People first) – preferably with timesheets, attendance, and leave.
  • Experience with timekeeping in Kronos (UKG/Workforce Management).
  • Experience in creating and acting on Personnel Action Request (E-PARs) in People First.
  • Experience assisting personnel with requests for the Family Medical Leave Act (FMLA).
  • Experience analyzing documentation and advising others on matters involving human resources.
  • Knowledge of and ability to research the State of Florida Personnel Rules (Florida Administrative Code 60L-29-40) and Florida Statutes and Propose a course of action.

 

POSITION DESCRIPTION:

  • This position provides personnel support within Baldomero Lopez, State Veterans’ Nursing Home and communicates/coordinates specific personnel actions with the Headquarters Human Resources Office and Administrator.
  • Incumbent will maintain an accurate system for personnel record keeping including but not limited to job applications, hiring process, disciplinary actions, workers’ compensation claims, Family Medical Leave Act (FMLA), new hires and terminations.
  • Create and maintain ads for advertising in local papers and online job board platforms as directed by the Department.
  • Coordinate and/or set up job fairs to assist with the recruitment of new employees. 
  • Provide information and assistance to employees with regards to employee benefits.
  • Incumbent will receive in person, by phone, and by Teams calls supervision from the Headquarters Human Resource Consultant and the Administrator. 
  • Prepares and audits all personnel administrative documentation such as review of performance planning, performance standards, position descriptions, disciplinary actions, recruitment, hiring, separations, retirement actions, requests to advertise positions, requests for promotions and transfers; matters relating to health and life insurance, direct deposit, deferred compensation, dental, life, other miscellaneous insurance, and deductions.
  • Assists and advises supervisors in the preparation of documentation relating to personnel actions.
  • Assists hiring managers with job applications and determines applicants’ qualifications and job classification eligibility.
  • Reviews applications and ensure they are complete to include necessary documentation. (i.e.: licensure /certification)
  • Create and maintain Ads for advertising in local papers and online job board platforms as directed by the Department.
  • Coordinates job fairs to assist with the recruitment of new employees.
  • Schedules drug testing for candidates and employees as needed. Performs valid licensure / certification checks, FDLE checks, valid driver’s license checks, and abuse registry checks for selected applicants.
  • Assigns position numbers from the oldest vacancy positions to new employees.
  • Orient and process new employees to include the agency’s policies and procedures, benefit programs, People First, and completion of required paperwork.
  • Interpret and provide guidance on personnel rules, policies, procedures, and standards to assist supervisors, applicants, and staff in varied personnel matters.
  • Acts as payroll liaison for the facility and communicates with the Headquarters Human Resource Department, supervisors, employees, and Administrator.
  • Audits time sheets to ensure accurate worked time, overtime, shift differential, annual leave, sick leave, leave without pay, special compensatory leave, personal holiday leave, etc.
  • Conducts bi-weekly audits between the time and attendance system and the People First timekeeping system to ensure accurate payroll data submission for CMS, the Administrator, and the Headquarters Human Resource Department.
  • Processes Workers’ Compensation Notice of Injury for job-related injuries and works closely with the Risk Manager and Headquarters Human Resource Department throughout the process. Prepares and submits injury reports. 
  • Maintains OSHA log for facility. 
  • Conducts monthly Quality Assurance as directed by the Administrator and report findings to monthly Quality Assurance / Performance Improvement committee. Audits will include monthly review of AHCA Clearinghouse to maintain compliance with AHCA Requirements.
  • Performs other related duties as required.
  • This position reports to the facility Administrator. 

 

This position is in the Select Exempt Service System.
