Senior Clerk

(Child Care Licensing Program)

The Florida Department of Health in Pinellas County is seeking a Senior Clerk for the Child Care Licensing Program. The individual in this position will join a team that work to ensure that health and safety standards are met in all licensed child care programs throughout Pinellas County. The incumbent will provide administrative/clerical support to the Licensing Specialists and home providers.

 

 Your Specific Responsibilities:

 

  • Creates accurate Family Home Child Care renewal list by month and assembles renewal application packet and sees to it that it is issued 90 days prior to the renewal date.
  • Accepts and processes licensing application for Family Home Child Cares. This process includes the review, receipting and recording of application and license fees; data entry of applications into the appropriate tracking systems; processing pertinent documents; preparing necessary correspondence, and giving to appropriate Licensing Specialist with checklist.
  • Produces accurate licenses and certificates along with proper documents, gives to Licensing Specialist and Supervisor for proofing and mails on a timely basis, according to program requirements.
  • When a Family Home Child Care closes, sends proper correspondence, according to procedure; data system is updated and file is placed in closed Family Home Child Care box. When appropriate prepares file to be sent to storage.
  • Mails packet of paperwork, three months prior to a PCLB meeting to providers scheduled to go before the PCLB for update (Central Abuse Form) and processes upon receipt.
  • Prepares labels and envelopes for provider mailings, upon request.
  • Sends out Applications for Change and appropriate paperwork when requested by provider or Licensing Specialist.
  • Maintain current email distribution list and send email blasts as requested.
  • Prepare monthly training materials (Quantify participants and the amount of materials needed)
  • Email monthly customer satisfaction survey to random sample of providers who received inspections
  • Scan and send license, temporary permits, change licenses, provisional and probationary licenses issued each week to ELC weekly
  • Maintain electronic copy of current Family Child Care homes with pertinent data, and distribute quarterly to all CCLP staff
  • Create and maintain a Desk Reference Guide for Senior Clerk for Family Home Child Care position.
  • Look up and retrieve information for all center owners and directors upon submission of a Central Abuse Hotline Records Search form
