Your Specific Responsibilities:

  • This is a confidential position having significant access to information involving employee relations.  This is administrative work assisting the Administrator in the operations of the Citrus County Health Department. This is a highly responsible position which requires independent judgment and motivation.  This position will also be the backup to the Personnel Liaison. Has computer access to program folders and HR Position Descriptions. Adheres to Citrus County Health Department Confidentiality, Security Policies and Procedures.

 

  • Maintains website calendar for conference room reservations.  Assists with reserving conference rooms and training locations.

 

  • Manages the Administrator’s Outlook calendar.  Meets with the Administrator to review calendar and schedules meetings, webinars, video conferences appointments accordingly at own discretion; and monitors the scheduling, correspondence, and documentation needs of the Administrator.

 

  • Prepares requests for the Administrator to incur travel expenses and prepares reimbursement of travel expenses upon return.  Ensures required documentation is included. 

 

  • Answers, screens, and routes telephone calls to the appropriate program area/individual and take accurate message. 

 

  • Reviews, analyzes, and prepares drafts of memoranda and correspondence for administrative staff. Performs copying, filing, collating, and scanning paperwork.  Ensures office equipment is in working order.

 

  • Participates on committees, prepares agendas and handouts for community partnership meetings. Responsible for the taking and distribution of minutes as assigned by the Administrator. Transcribes meeting minutes for the following meetings:  Senior Leadership Team, Quarterly Expanded Leadership, Performance Management Council and Citrus Health Improvement Partnership.

 

  • Processes and submits purchase requisitions for office supplies as needed from My Florida Market Place (MFMP) for the administrative staff.

 

  • Maintain and updates policies and procedures files/manuals. 

 

  • Provides phone backup for the nursing administrative staff assistant.

 

  • Provides backup for the Personnel Liaison including fingerprinting. Participates in the interview process and hiring of new employees as needed.  Assists with reorganizations when necessary.

 

  • Serves as one of the TRAIN Administrators and receives Employee Action Log to create New Employee TRAIN accounts.  Creates and updates employee’s TRAIN Florida profile to reflect all relevant employment information.

 

  • Handles customer service/client inquiries and issues over the phone, via email and in person.  Receives and routes, as appropriate, all customer complaints or requests for assistance and/or information. Tracks all customer complaints or requests.

 

  • Back up for: Clerical and Fiscal Department opening the safe for change funds; Fiscal Department to open mail/enter mail logs in Finance folder; Clerical Department as a Deputy Registrar.

 

  • Completes other administrative duties and special projects for the Administrator as assigned.

Knowledge of office procedures and practices.  Knowledge of the principles of correct grammar usage.  Knowledge of basic arithmetic.  Ability to plan, organize and coordinate work assignments.  Ability to determine work priorities, assigns work, and ensures completion of assignments.  Ability to review work for accuracy and quality of content.  Ability to communicate effectively. Ability to establish and maintain effective working relationships with others. Ability to deal effectively with a variety of people.  Ability to prepare reports and maintain records.
