Your Specific Responsibilities:

This position is responsible for independent work in Medical Records.  Incumbent may be required to work during or beyond normal work hours or days in the event of an emergency. Emergency operations functions required of the incumbent include but are not limited to special needs shelters, Red Cross shelters, or other emergency functions, including responses to bioterrorism or threats of bioterrorism. Designated “Need to Know” position with access to the following information: Has access to client medical/immunization, record maintenance, billing, and appointment scheduling.  Has key access to record room. Has computer access to Clinic Management system and CPHUIMS system. Adheres to Citrus County Health Department Confidentiality and Security policies and procedures. Attends Annual Confidentiality and Security Training’s and updates.

 

Maintains security of Records Room by only allowing designated employees admission.

Maintains log of all visitors to area and assures that all visitors are supervised while in record area.

Maintains security of clerical/vitals area by only allowing designated employees admission.

All work is performed with considerable degree of independence, subject to review by immediate supervisor.

Coordinates with supervisor an established systematic routine for inactivation and purging of files.

Prepares purged records for storage and destruction per department policies.

Pull duplication reports and resolving any issues.

Responsible for copying, mailing, and/or faxing of record requests for all departments.

Coordinates with legal department on mandatory audits, subpoenas and medical record requests when needed.

Keep refreshed on policies and procedures specific to medical records and RMLO duties.

Scan’s the OB records into HMS and or into the physical chart if applicable within 1 week of being closed out.

Assists in tele task assignment if needed.

Coordinates filing and retrieval of medical records for all clinics within health unit.

Assures records organized by State guidelines.

Interview patients for eligibility determination and registration. 

Register patients on each visit and re-determine eligibility annually.

Prepare patient folders or electronic record for each patient, filling out all forms and scanning all documents daily.

Fill out portion of Medicaid/sliding fee encounter form. 

Enter billing services daily and collect monies due. 

Assists in entering billing and insurance information for dental sealant school program.

All clerical staff will use the SmartCall system and be accountable for prompt and accurate client processing in a timely manner for all departments.

Answering numerous inquiries related to health department services.

Receive patients, schedule appointments, and accept fees when required, giving receipt for same.

Receive and log incoming and outgoing telephone messages, making calls, giving out information as requested by telephone or office visit.

Receiving and routing patients to include interviewing as to the purpose of their visit, securing records as necessary.

This position can be tasked to assist with training new staff.

Performs other duties as requested by Supervisor.

Ability to maintain client records.  Ability to interview clients to identify needs.  Ability to plan, organize and coordinate work activities.  Knowledge of community resources.  Knowledge of the principles and techniques of effective verbal and written communication.  Ability to actively listen to others.  Knowledge of personal computers and software.

Qualifications:

Minimum - Florida Driver's License.
