Your Specific Responsibilities:
This is a very responsible, independent position that will support the Administrative Assistant III – SES for DOH-Suwannee and DOH-Lafayette. Incumbent is responsible for securing the designated information set for the purpose of protecting confidentiality, data integrity and appropriate access, for all information, both confidential and public record, which is stored in hard copy or electronic formats. This position has been delegated back-up key custodian for secured areas within the Health Department and personnel records. Incumbent will serve as back-up support to the Administrative Assistant III in the following duties:
Assist with human resource duties to include preparing and submitting tickets in the FLHealthDesk-HR to advertise positions and creating requisitions in People First for posting; completes classification, recruitment, separation, and payroll actions. Assist employees with attendance and leave, insurance and benefits, and labor relations questions. Assist with scheduling interviews, background, drug screens and checks new hires in E-Verify. Assist with submitting recruitment tickets for volunteers, interns, and other persons providing services for DOH.
Assist with daily bank deposits to include running daily cash drawer reports and preparing revenue code strips. Prepares weekly clearing account check and sends to North Florida Consortium. In the absence of Administrative Assistant, assist with sorting and distributing daily mail.
Assist with preparing monthly travel vouchers in the Statewide Travel Management system, enrolling new hires in required mandatory trainings in TRAIN, and submitting work orders to Suwannee County Facilities Maintenance upon request, coordinates facilities upkeep in cooperation with safety personnel.
Schedules vehicle/fleet maintenance as requested and/or needed.
Assist with monthly newsletter to include lay-out, data gathering, information submission.
Provides administrative services for Health Officer, as directed.
Time sheet and EAR entry within the required time frame; Subject to emergency duty in the event of a natural disaster; completion of all mandatory or assigned trainings within the required time frame.
Other duties as assigned.
Required Knowledge, Skills, and Abilities:
Knowledge of office procedures and practices; knowledge of principles and techniques of effective communication; knowledge of the methods of data collection, and basic arithmetic. Ability to understand and apply applicable rules, regulations, policies and procedures; ability to deal with the public in a tactful and courteous manner, work independently, utilize problem-solving techniques. Ability to plan organize and coordinate work assignments, communicate effectively and maintain an effective working relationships with others.
Qualifications:
Must have a high school diploma or its equivalent.
Three years of secretarial or clerical work experience.
