Minimum Qualifications:
A high school diploma and eight years of professional experience in administrative work.  An associate’s degree can substitute for two of the eight years of experience and a bachelor’s degree can substitute for four of the eight years of experience. Computer proficiency to include Microsoft Office Word, Excel and Outlook.

 
Preferred Qualifications: 

Preference may be given to candidates with the following qualifications:
One or more years of working in the State of Florida’s MyFloridaMarketPlace, the Purchasing Card system, and State of Florida purchasing processes. 

 

Requirements:
Employment in this position is contingent upon a satisfactory Level 1 background check at no cost to the candidate. 

 

Office hours are from 8:00 A.M. to 5:00 P.M. Eastern Standard Time, Monday through Friday. Not eligible for Telework.

Position Overview and Responsibilities:

Act as office manager in coordinating daily operation of the South Florida Regional Laboratory (SFRL). Develop and monitor budgets for research programs and grants. Assist staff with preparation and review works purchases and STMS travel reimbursements. Act as purchasing card delegate entering and approving employee purchasing card transactions into the p-card system. Assist with property inventory, tracking, and disposal. Maintain vehicle and vessel WEX fuel and repair cost including but not limited to purchasing card reconciliation reports and vehicle/vessel logs. Maintain DMS facilities parking permits and TRIRIGA facilities requests. Assist Program Administrator with the administration of the SFRL science programs (spiny lobster, restoration ecology, and finfish research) and provide support to all staff based at SFRL across Divisions as required. Act as program receptionist by receiving and responding to or directing incoming telephone calls and/or visitors to appropriate staff members. Perform other duties as assigned.
 
Knowledge, Skills and Abilities:
Knowledge in using Microsoft Office Word, Excel, Outlook and Adobe Pro

Knowledge of grant budget administration, contract budget management, or project budget management principles.

Ability to plan, organize, and coordinate work assignments efficiently.

Ability to work independently with minimal supervision.

Skill in the use of personal computers and standard office software.

Skill in using Microsoft Office applications, including Excel, Word, and Outlook, to conduct administrative functions

Skill in using Adobe Acrobat or similar software to review and manage electronic documents.

Ability to learn and use software for State administrative processes including People Frist, FLAIR, STMS, TRIRIGA and in the future PALM
