SALARY RANGE

$44,060.11- $49,920.26 Annually            $1,694.61 - $1,920.01 Bi-weekly

 

Position Summary

This position provides overall assistance and support and performs a wide variety of complex legal, administrative, and clerical functions and additional oversees the clinical records department.  The person in this position requires minimum supervision and is allowed the flexibility to exercise a great deal of independent judgment in carrying out assigned duties. It is imperative that the incumbent in this position maintain an effective working relationship with court officials, APD staff and members of the legal community.

 

The Work You Will Do 

  • Provides leadership and direction to clinical records to ensure all resident records adhere to agency protocols, and applicable laws/rules.  Provides direction to ensure relevant information regarding the individual is readily accessible and available to persons who have authority to access.

 

  • Provides leadership and guidance for Admissions/Discharges to ensure both are processed in accordance with guidelines, policies, and procedures.  Ensures the overall clinical records department operates effectively and efficiently based on policy, procedures and rules governing the clinical records department.

 

  • Independently prepares legal pleadings, memoranda and other documents and performs routine administrative and/or clerical functions.

 

  • Track legal status/court dates, etc., of residents, preparing and distributing weekly spreadsheets and notifying appropriate staff of updated information and status changes.

 

  • Serve as liaison between the Attorney, DDDP staff, and court officials to resolve issues as appropriate and/or secure needed information / documents.

 

  • Assist with DDDP court ordered treatment cases by reviewing referrals, preparing, and filing petitions/motions and court dockets, ensuring witnesses are prepared and present for hearings, and distributing signed orders.

 

  • Monitor competency evaluations and other reports to the court to ensure timely and accurate submission. 

 

  • Monitor, in-service, motivate and direct staff in areas of job performance. Complete employee’s performance evaluations and performance expectations within established timeframes as required.
  • Assist in the hiring process of staff, to include but not limited to, participating in the interview process, making recommendation(s) for hire. Recommends corrective and/or disciplinary actions as necessary.

 

  • Completes all required training. Monitor and tracks to ensure assigned staff complete required training.
  • Maintain timesheet, ensuring accuracy and submit timely in accordance with policy and procedure. Review and approve timesheets as required. Monitor all time and attendance to ensure all coverage levels are met, review and address areas of concern with staff and management as required.

 

  • Performs other related duties as required. 

 

 

 

 

Minimum Qualifications

 

  • Preferred but not required, associate’s degree in a medical or related field.
  • At least three years of experience handling/processing medical records.
  • Experience and working knowledge of Microsoft Office applications.
  • Preferred but not required; experience processing legal documents.

  • Knowledge of the methods of data collection and analysis.
  • Knowledge of basic management principles and practices.
  • Ability to collect, evaluate and analyze data to develop alternative recommendations, solve problems, document work flow and other activities relating to the improvement of operational and management practices.
  • Ability to organize data into logical format for presentation in reports, documents and other written materials.
  • Ability to conduct fact-finding research.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently.
  • Ability to understand and apply applicable rules, regulations, policies and procedures relating to operational and management analysis activities.
  • Ability to plan, organize and coordinate work assignments.

Direct Deposit Program

As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program.  Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

 

Background Screening Requirement

It is the policy of the Florida Agency for Persons with Disabilities that applicants for employment undergo Level 2 employment screening in accordance with the requirements of Chapter 435, Florida Statutes, as a condition of employment or being permitted to serve as a volunteer.
