Position Summary
This is a position under the Division of Operations established as a Stores Analyst. This position requires thorough knowledge of the SIMS Computer System, to include research of commodities for commodity descriptions, Stock Number information, quantity on hand, unit of issue, details concerning active/inactive status, re-order information (due in/required re-order levels), and most recent issue information. This position should also have knowledge of regulations pertaining to variety (to include those items of a specialized nature and/or chemical and hazardous materials as ordered by Sunland policy) and receiving commodities/OCO items in MFMP as they are received by the Warehouse personnel. Must perform duties independently to maintain Warehouse guidelines involving commodities received, recorded, stored, and issued throughout this institution as required to meet the needs of the customers. Must maintain a filing system with a minimum of 4 numerical sequences of Purchase/Direct Orders and prepared Receiving Reports and participate in the Perpetual/Annual Inventory process. Must have the ability to communicate effectively and establish/maintain effective working relationships with different groups in and out of the Warehouse. This position is housed in the Warehouse, Sunland Center-Marianna.
The Work You Will Do
Utilizes the SIMS Computer System to assist customers with the description, Stock Number information, quantity on hand, unit of issue, and other information to effectively assist customers to meet their needs. This would include knowledge of active/inactive status, re-order information (due-in/required re-order levels) and issue information in reference to billing, recommended de-activation of obsolete items and inventory. Will be able to interpret data in order to ensure that the commodities being warehoused meet the needs of the agency and adjust commodities as necessary to be efficient.
Receives commodities in SIMS System after confirmation of receipt in MFMP. Reviews documentation for accuracy and converts commodity vendor packaging to match distribution quantities in SIMS. Confirming the invoice/packing information matches the Purchase/Direct Order information, attaching the scanned items for documentation for receipt, and filing paperwork as part of the 4 numerical sequence filing system. This requires knowledge in using basic office equipment to include copiers, scanners, and MS Office programs as needed to meet the documentation of commodities/OCO items delivered to the Warehouse.
Actively participates in the receiving, recording, storing, and issuing of materials, equipment, and supplies being delivered to the Warehouse for distribution. Work includes accountability for store items and maintenance of records for all departments at Sunland Marianna. Must exhibit skills necessary to accurately keep records as required for accountability standards. Must possess the ability to reconcile shipments against invoices and/or Purchase/Direct Orders, skill in packing/unpacking and storing supplies, as well as a knowledge of record-keeping procedures. Fills Supply Requisition Orders, delivers materials, supplies, and equipment to appropriate locations throughout Sunland. Participates in the maintenance of Perpetual/Annual Inventory Processes in compliance with established Policy and Procedures for State Inventory Management requirements and Sunland Policy. Assures supplies are properly dated and rotated using first-in, first-out inventory methods. Removes and properly records damaged, contaminated, and/or outdated items from inventory. This requires the ability to use basic office equipment, manual/powered pallet jacks, forklifts, and ATV/Mule equipment used to deliver supplies to customers.
Ensures basic maintenance to equipment being utilized by the Warehouse. Complete any required Work-Order needed for specialized repairs of equipment being utilized by the Warehouse. Maintains the Fuel Operational Cost form for mobile equipment, and ensures equipment is clean and in good working order.
Perform other related duties as deemed necessary to maintain effective Warehouse Operation on a daily/on-going need assigned by supervision.
Complete all assigned Staff Training deemed mandatory.
Minimum Qualifications
- High school diploma or equivalent.
- Valid driver’s license.
- Preferred; experience working in My Florida Market Place (MFMP).
- Preferred; experience working in a warehouse.
Knowledge, Skills, And Abilities
- Knowledge of record-keeping procedures.
- Skill in assembling, disassembling and operating laboratory apparatus.
- Ability to receive, sort, verify and store chemicals, apparatus and supplies.
- Ability to prepare purchase requisitions.
- Ability to inspect equipment and materials to ensure that they are prepared and issued according to schedule and instructions.
- Ability to communicate effectively.
