This position is responsible for performing a variety of administrative, organizational, and clerical support tasks for the Probate Division. The position requires initiative, good judgment, professionalism, follow-through, the ability to multi-task and readily adapt to fast-changing priorities, neatness and organizational skills, and a strong work ethic. Frequent work contacts are made with other departments of the Administrative Office of the Courts, Judiciary, court partners, stakeholders, and the public. The position reports directly to the Probate Division Operations Director.
This position is eligible for a hybrid remote work/onsite schedule as outlined by existing Circuit policies and procedures.
- Provides administrative support to the Probate Operations Director and Case Management Unit; and may provide temporary coverage for other administrative support staff, as needed.
- Screens telephone calls and visitors; provides information, resolves issues, directs caller/visitor to proper personnel, or takes messages.
- Composes/drafts correspondence, memoranda, reports, e-mails, and other documents observing strict confidentiality.
- Schedules appointments/meetings and maintains calendars as needed; keeps supervisor(s) and staff apprised of appointments throughout the day.
- Makes travel arrangements and prepares authorization to incur travel and travel reimbursement forms, as necessary, in accordance with State of Florida and State Courts System policy.
- Communicates information to attorneys, court staff, and the public.
- Performs clerical tasks such as processing incoming mail and deliveries, preparing documents or other information for meetings, preparing routine reports, performing data entry, shredding, scanning, filing, faxing, or photocopying.
- Reviews and assists with processing disposition without administration cases.
- Orders supplies and equipment; obtains quotes; and prepares purchase requisitions.
- Attends staff and other professional meetings to exchange information and/or to take minutes; transcribes minutes and distributes to appropriate personnel.
- Gathers and maintains information/data to support periodic and special reports for the area of responsibility; makes copies and distributes to appropriate personnel or departments as designated.
- Adheres to the policies and procedures delineated in the Employee Handbook.
- Adheres to departmental directives and observes office work hours.
- Performs other related tasks as needed.
- Bachelor's degree from an accredited four-year college or university.
- One (1) year of work experience in business administration, office skills, or related field.
Knowledge, Skills, and Abilities (KSAs):
- Thorough knowledge and understanding of business English, spelling, and punctuation.
- Bilingual in English/Spanish or trilingual in English/Spanish/Creole is preferred but not required.
- Ability to communicate orally and in writing, and conduct presentations.
- Ability to multi-task and adapt to new procedures.
- Excellent administrative and clerical skills.
- Ability to work independently and collaboratively.
- Ability to establish and maintain effective working relationships with court personnel, the judiciary and court stakeholders.
- Ability to work with minimal supervision and recognize and establish priorities.
- Proficient in Microsoft Word, Excel and Outlook.
- Knowledge of or the ability to learn technology platforms and other court related systems as it relates to the position.

Physical Demands:
- Work involves a significant amount of standing, walking, sitting, talking, listening, and reaching with hands and arms; must be able to transfer up to 10 pounds.
