Your Specific Responsibilities:

This is an intermediate position providing administrative support to the Facility Manager for the Florida Department of Health in Miami-Dade County. Work involves assignments that are broad as to objectives and content and require independent decision-making while operating within the Department of Health and Miami Dade County Health Department policies and procedures. Maintains strict employee and department confidentiality and has authorized need to know access to confidential employee records and databases.

 

Manages the calendar and creates appointments' files for office record. Scan documents and sends via email pertaining to parties. Organizes meetings and conference calls for the Facility Division. Answer phone calls and direct calls to appropriate parties or take messages. Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions. Coordinates building and cleaning services to ensure a healthy, sanitary, and pleasing work environment. Acts as the point of contact for property managers, maintenance technicians and janitors to gain access to offices of the FDOH.

 

Coordinate with Business Operations and Facilities and Safety of change in security needs when property services are needed after work hours or during weekend. Ensures building extermination, walkthroughs, regular cleaning, and HVAC filter replacements are routinely performed. Reports to the property manager any reactive maintenance including repairs, flooding, damage, and HVAC. Coordinates with Facilities and Safety special assignments requiring painting, flooring repair, and waxing, plumbing work, electrical repairs and heating and air conditioning system maintenance.

 

Follows up on pending issues with other divisions and programs within the organization to ensure goals and objectives are met. Reviews quality indicators. Participate in workgroups and attend meetings, conference calls and training as requested. Ensures email communications are maintained daily, and the accurate completion and timely submission of all administrative requirements including Employee Responsible for the monitoring of inventory, preparation and distribution of management reports for Facilities Department. Establishes and maintains the inventory control system, initiates purchase requisitions required to maintain adequate inventory levels. Consults with the Facility Manager regarding issues concerning the operation of the warehouse.

 

Responsible for receiving, packing, and arranging distribution of commodities, materials and equipment to Facilities Maintenance and Custodial. Activity records, reports, and responds to Florida Department of Health Emergency Notification System alerts. Performs all other duties as assigned.

 

Required Knowledge, Skills, and Abilities:

  • Ability to follow written and oral directions
  • Ability to perform work dependably with minimal supervision.
  • Ability to move furniture and equipment weighing up to fifty pounds.
  • Ability to use your abdominal and lower back muscles to support part of the body repeatedly or continuously over time without giving out or fatiguing.
  • Ability to listen to and understand information and ideas presented through spoken words and sentences.
