Description
Salary is Non-Negotiable. The successful candidate will be hired at the minimum salary.
The responsibilities of the JA Accountant 1 position within the Administrative Services Department (ASD) are to provide accounting, reconciling, clerical and customer service support. This position performs essential duties such as processing invoices and contracts, interacting with vendors to resolve issues, providing customer service and administrative support.
This position is eligible for a hybrid remote work/onsite schedule after a 90-day period, as outlined by existing Circuit policies and procedures.
Responsibilities
- Processes invoices for payment including researching invoice payment status and requisition, reconciliation with applicable state and county invoices including due process, My Florida Market Place (MFMP), and Integrated Financial Resources Management System (INFORMS). Ability to interact with vendors to verify accounting information and resolve invoice-related issues, and to communicate with other departments or agencies to resolve issues.
- Performs research as required to ensure accuracy of information on invoices and expense reports, audits and processes paperwork in compliance with department guidelines and procedures.
- Creates, processes, and renews contracts for all due process services including expert witnesses, mediators, hearing officers, and court interpreter contracts. Ensures new vendors are registered with Florida Accounting Information Resource (FLAIR)/MFMP and provides guidance to resolve any issues.
- Performs general account ledger reconciliations including processing journal entries.
- Performs clerical tasks, such as filing, preparing mailings, performing data entry, typing correspondence, processing mail, scheduling, maintaining file/record system, and preparing spreadsheets.
- Reconciles monthly purchasing card reports for proper documentation.
- Greets visitors coming to the Administrative Services Division, provides routine information and directs people to appropriate area/department or personnel. Answers department telephones, addresses questions and provides information, directs callers to appropriate personnel and takes and distributes messages.
- Reconciles bank deposits, tracks expenses/revenue, and monitors State and County vendor payables.
- Assists staff with travel arrangements; processes/audits travel vouchers and prepares travel documents in INFORMS.
- Delivers weekly FLAIR and INFORMS reports to the Chief Financial Officer (CFO), performs monthly invoice reconciliation for hearing officers and State Problem Solving Courts, processes and submits additional compensation for County Judges to the State monthly.
- Processes and reviews Accounts Receivables deposits for the County, State, and Judicial Activity Account including, but not limited to Self-Help, ID cards from Human Resources, judge’s parking for over payments and refunds from State Vendors, and Judges’ payroll deductions.
- Performs general account ledger reconciliations, including processing journal entries.
- Assists with special projects as directed.
- Performs other related duties as assigned.
Qualifications
- Bachelor’s degree in accounting, finance, computer operations, or a closely related field.
- Two (2) years of related experience.
Knowledge, Skills and Abilities (KSAs):
- Ability to compile, examine and evaluate financial data or information from FLAIR, INFORMS, and any other appropriate state or county budget program.
- Ability to use practical application of basic math, percentage, ratios, and proportions.
- Ability to perform skilled work involving rules/system with almost constant problem solving, which requires normal attention with short periods of concentration for accurate results with occasional exposure to unusual pressure.
- Knowledge of governmental budgeting and accounting, State of Florida’s Accounting System, Florida Accounting Information Resource (FLAIR), My Florida Marketplace (MFMP), and Miami-Dade County’s financial system.
- Ability to communicate effectively, both verbally and in writing.
- Experience using personal computers and software such as Microsoft Word, Outlook, Zoom, Excel, Access, Teams, and PowerPoint.
- Ability to organize work, establish priorities, coordinate work assignments, and meet deadlines.
- Ability to work independently and maintain confidentiality and discretion concerning sensitive issues.

- Moderate noise; business office setting.
Physical Demands:
- Work involves a significant amount of standing, walking, sitting, talking, listening and reaching with hands and arms; must be able to transfer up to 20 pounds. Walking to the nearby court and other government building locations is required.
