Your Specific Responsibilities:          

The incumbent performs a variety of clerical duties related to Epidemiology, Disease Control and Immunization Services (EDC-IS) and is cross trained across clinics. Duties include front desk reception/greeting, appointments, registration/eligibility, financial clerk/cashiering.  Medical Records /Electronic Health Record (EHR), and phone operations. Assignments vary according to support service needs at any given time; the incumbent will be flexible and accept change readily. Incumbent will follow Health Insurance Portability and Accountability Act (HIPAA) and information security regulations set by federal, state and local policies to ensure confidentiality and privacy of the client health information. Incumbent will establish good rapport with staff and clients and provide excellent customer service. Incumbent is expected to adhere to established Health Department policies and procedures.

 

 

Front Desk Duties: Greets client in an appropriate manner, determine purpose of visit, direct client for specific destinations. Communicate with community partners to obtain proper Immunization History as needed. Provides necessary forms for completion and makes copies of client’s picture ID. Answer customer’s questions and provide information. Obtains authorizations for 3rd party billing as required. Schedules appointments and maintain update appointment scheduler.  Prints daily appointment list, answers telephone, forward calls, provide information and takes messages. Calculates and submits Daily census report.

 

Registration Duties: Interviews patient/parent or guardian and records demographic information and insurance information into HMS/FLSHOTS. Checks, verifies, and records FMMIS, TransactRX information on each visit. Scan and upload required ID/forms into HMS. Distribute up-to-date required and/or recommended Vaccine Information Statements (VIS) on each visit. Safeguard the integrity of the databases by ensuring that the client is properly registered in accordance with the Health Management System (HMS) and Florida SHOTS (State Health Online Tracking System) policies and ensures that records are not duplicated. Protects the security of electronic (EHR) or hard copy medical records to ensure that confidentiality is maintained.  Ensures that the client’s medical record/EHR is completed following MDCHD policy and procedure and Department’s Health Record Policy, utilizing approved forms/screens and following program requirements. Prepares and witnesses consent forms and release of information on all clients as needed.

 

Protects the security of medical records/EHR to ensure that confidentiality is maintained. Ensures that the client's medical record/EHR is completed following policy and procedures. Utilizes approved forms/screens. Scans and files registration and clinical documents. Processes release of information (ROI) request ensuring that valid authorization has been given by the client or the client's legal representative; releases information to persons and agencies according to policy and regulations.

 

Respond to public health fair request and performs activities including assessment of individual client’s immunization records and provide appropriate documentation as needed.

 

Participates in workgroups, attends meetings, conference all and training as requested.  Complies with program’s protocols for calling in sick, tardiness and/or leave request.  Respond to FDOH emergency alerts and Continuity of Operations Plan (COOP) call down list, etc.  Ensures that email communications are maintaining daily.

 

Performs all other duties as assigned.
