Your Specific Responsibilities:
Incumbent is based in the Dr. Rafael Penalver Dental Clinic and/or other location under the direct supervision of the lead Dentist of the site. This is a Senior Clerk position. The primary functions are a variety of clerical duties related to Clinical Administrative Support Services.
Registers clients in HMS and in the electronic dental record software system, Dentrix. Reviews Florida Shots to reduce duplication of charts in HMS. Determines the client’s method of payment. Verifies client, insurance information and ensures accurate and up-to-date data is recorded. Checks Medicaid eligibility through FIMMIS. Obtains authorizations for 3rd party billing as required. Prepares and witnesses consent forms and release of information on all clients as needed. Records daily dental procedures from the super bill to HMS. Scans all documents relating to the clients medical record into HMS and bills the insurance plan or the client for all of the dental services for each client.
Serves as cashier for the clinic reviewing client accounts and collects outstanding balances according to agency policy. Reviews super bill to ensure information is entered accurately in the HMS record-of service section. Marks and bills and receives payment by cash, credit and debit cards. Verifies insurance information is correct in HMS and bills correct insurance. Records data into HMS, issues receipt, provides change and/or refunds due to clients. Operates office machines such as; computer, credit card machine and calculator. Reconciles cash drawer daily, responsible for daily cash collection log, change fund (petty cash), assembles daily reports and submits total collections daily to supervisor.
Duties include front desk reception/greeting, appointments, registration/eligibility, financial clerk/cashiering, EHR/ Medical Records, and phone operations. Incumbent will follow HIPAA and information security regulations set by federal, state and local policies to ensure confidentiality and privacy of the client health information. Incumbent will establish good rapport with staff and clients and provide excellent customer service. Incumbent is expected to adhere to established Health Department policies and procedures. Participates in disaster-related duties as directed.
Files medical records/EHR using filing/scanning system established by the agency. Attends staff meetings and trainings. Attempts to collect unpaid account balances in person or by phone in accordance with written guidelines. Sends letters to patients that have pending balances attempting to collect long standing debt balances. Review billing encounter for completeness.
Participates in workgroups and meetings and attends/completes required trainings. Reviews/responds to email daily and completes on time all administrative requirements ServFL response, reports, etc.
Participates in at least two health fairs annually. Responsible for training new clerical employees at the Dental clinic in duties such as cashiering, billing, registering patients, Dentrix software, and clinic protocols as needed.
Performs other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Knowledge, skills and abilities, including utilization of equipment, required for the position:
- Knowledge and proficiency with computers and various computer programs.
- Knowledge of the principles and practices of cashiering (Petty Cash handling, credit card machine handling, closing reports, deposits).
- Knowledge and Experience of front desk duties (registering patients, making and confirming appointments, collecting and scanning patient documents, printing necessary forms, and calling recall patients).
- Knowledge and Experience in customer service (addressing client concerns, helping dissatisfied clients, facilitating communication between clients and staff members, etc.
- Knowledge and Proficient with Dental Software to register patients, make/delete appointments, enter patient documents, retrieve reports, print referrals, and update medical history alarms.
- Knowledge and Proficient with electronic health records.
- Knowledge of Dental terminology and CDT/ADA dental codes and concepts.
- Knowledge of Medicaid (dental plans) Insurance verification, billing claims, pre-authorizations, payment verifications, and referrals through the web portal and/or phone.
- Knowledge of Dental Insurance verification, billing claims, pre-authorizations, payment verifications, and referrals through the web portal and/or phone.
Qualifications:
Preferred –
Incumbent in this position is preferred to be bilingual in English and Spanish.
Experience working in a dental office.
Experience verifying various types of insurance coverage for patients.
