Senior Clerk – District Three / Midway Operations
This position will provide clerical assistance for the office.

Your Specific Responsibilities:
Perform front desk receptionist coverage or any other area to promote and enhance the production level of administration overall; including communication/switchboard, security, customer service, information dissemination, administrative reports and other administrative support tasks as identified by the Office Operations Manager. Prepares travel documents and travel reimbursements. Provide support in the annual inventory process by locating and scanning assigned property and equipment.
Attends pre-work conferences on Maintenance Contracts and attends meetings with contractors throughout life of projects as assigned. Prepares meeting minutes for distribution. Ensures all contracts documentation has been scanned into Electronic Documents Management System (EDMS). Manage records and prepare for destruction of contracts files when statuary and procedural timeframes are met.
Responsible for prompt, accurate processing of all paperwork regarding the uniform contract for this area. This includes verification of uniforms turned in and received each week from contractor and employee, handling complaints from employees, tracking available balance of purchase order throughout the year, verifying and processing payment of invoices each month, advising purchasing agents of the need for increase or decrease in funds, etc.
Coordinate the Adopt-A-Highway Program for the Tallahassee office. This includes, but is not limited to: processing a variety of correspondence regarding the program such as sign requests, regular communication with approved groups, solicitation of new groups, maintaining up to date spreadsheets reflecting approved groups and availability of sites, coordinating with groups for pick-up dates and supplies, coordinating of safety training, etc.
Responsible for purchasing the office supplies for this office. Maintain necessary inventory to ensure that the most needed commodities are readily available for the employees to use and ensure non-consumable items are not over stocked. Conduct research to ensure purchases of commodities are performed in accordance with policies and procedures.
Prepares and processes all travel paperwork for this office. This includes any travel associated with training, out-of-town meetings, assignments during emergency operations, etc. This also includes ensuring that all hotel reservations are made in a timely manner and that all registrations fees are paid by the assigned due dates.
Serves on and supports any special events committees such as Safety Coordination, Employee Orientation, and Awards and Recognition as needed. Maintains and updates SharePoint site as needed. Assist in Emergency Operation Recovery Efforts.
Reviews and distributes mail. Coordinates, schedules and sets up conferences and meetings for the Office/Section. Uses a variety of software applications, databases, and office equipment to accomplish assigned tasks.

Other Job-Related Requirements:
- Responsible for adhering to the provisions and requirements of Section 215.422, F.S., related State Comptroller's rules, and Department of Transportation's invoice processing and warrant distribution procedures. The incumbent of this position is required to work around Department of Corrections inmates. Utilizes business plans as an integral part of daily work activities in support of the Department's/Unit Plans to accomplish the mission of the Department. On an as needed basis may be required during periods of emergency and/or disaster recovery upon request by appropriate authority, to work beyond established work schedule at night and/or state-wide, including weekends. Overnight travel may be required for statewide meetings, training, conferences, or seminars.
Minimum Qualifications:
