Your Specific Responsibilities:
The Health Information Specialist is responsible for helping Glades County Health Department (CHO) achieve its mission of "To protect, promote & improve the health of all people in Florida through integrated state, county, & community efforts" and its vision "To be the Healthiest State in the Nation".
This position is based in Moore Haven and reports directly to the Operations & Management Consultant SES and is headquartered at the CHO in Labelle.
Work independently at the front desk answering phones, screens and directs incoming calls and messages to the appropriate party according to office policy.
Greet clients and visitors in a prompt and pleasant manner, determine their needs and respond accordingly. Interview clients and gather necessary information to determine financial eligibility for services.
Collect, copy, and update personal and financial information (insurance cards, etc.) obtained from the clients certifying re-eligibility as required.
Record and update client demographic information completely and accurately into the Health Management System (HMS).
Schedules patient appointments according to policy. Act as an interpreter when requested.
Cashier services for clients which includes charging from super bill, collection of fees, balancing through the Health Management System (HMS) billing function, which identifies cash collections, billings to Medicaid, Medicare, Private Insurance, or other third-party payment sources.
Retrieve date stamps & reviews incoming correspondence delivered by courier.
Respond to telephone and face-to-face inquiries about correspondence that is processed.
Assists clients in completing authorization for release of medical records
Prepares letters and invoices in response to requests for release of medical records. Ensures that certified mail is used for all correspondence containing patient protected health information.
Fax information to outside agencies upon receipt of properly completed release forms. Collect pertinent data related to the workflow and processing of requests.
Accept court orders and subpoenas if delivered by process servers.
Assist the RMLO in providing guidance to staff in all programs as it relates to release of information. Will also be responsible for the Maintenance, retrieval, and filing of confidential medical records.
Will Process medical record releases, reviewing for completeness prior to the release of confidential information. Handles all request for record copy in a timely manner and in accordance with DOH Policy.
Performs all vital statistics functions in accordance with the Chief
Deputy Registrar Operations Manual, the Vital Records Registration Handbook and Florida Statute 382. Assists other Deputy Registrars as needed.
Assist professional staff in coordinating clinic scheduling as necessary, including Family Planning, child and adult immunizations, and Refugee Health. Updates Health Management System (HMS) to reflect scheduling changes. Functions as the clerical liaison with medical staff in serving clients from an interdisciplinary approach.
Required Knowledge, Skills, and Abilities:
Ability to handle cash-payments and balance a cash drawer. Ability to multi- task in a fast-paced environment.
Ability to use a computer and enter data in a timely manner. Ability to prioritize work assignments to meet deadlines.
Ability to collect and compile data
Ability to request information from clients during the eligibility process
Qualifications:
Minimum:
- Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
- Must be Bilingual - Able to write with proper English Grammar and speak Spanish
- A High School Diploma or an equivalent GED
- One to two (1-2) years Customer Service Skills
- A minimum of one (1) year of clerical or public contact experience
- Handled cash payments and balanced a cash drawer
- Reliable transportation
