JOB DESCRIPTION:

The incumbent in this position will serve as the receptionist for the Division of Vocational Rehabilitation, responding to inquiries from visitors, customers, vendors and the public. The incumbent handles clerical tasks like drafting correspondence, scheduling appointments, maintaining files, and providing information to callers.

 

DUTIES & RESPONSIBILITIES:

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

  • Supports the unit counselors by filling, preparing correspondence, recording cases and gathering data for casework.
  • Assisting in expediting consumer services by managing routine activities and coordinating with vendors, including physician offices and employers, to schedule appointments.
  • Reviews and processes payment authorizations, ensuring timely service delivery.
  • Prepares routine correspondence, assembles information from various sources, and maintains files to meet deadlines and priorities, such as annual reviews and eligibility determinations.
  • Promotes communication with vendors, associates and community partners to improve services and generate referrals.
  • Provides back-up support to the unit staff.

 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of office administration principles, practices and procedures.
  • Knowledge of basic mathematical concepts and arithmetic calculations.
  • Knowledge of records management, document organization and filing systems.
  • Knowledge of professional telephone etiquette and customer service best practices.
  • Proficiency in Microsoft Office Suites, including Word, Excel and Teams
  • Skilled in accurate typing and data entry with strong attention to detail.
  • Skilled in operating standard office equipment, including multi-line telephone systems, copiers, scanners, printers and fax machines.
  • Ability to organize, maintain, and manage physical and electronic files and records efficiently.
  • Ability to perform routine mathematical calculations with accuracy.
  • Ability to prepare correspondence, memoranda, reports and forms using proper formatting and professional writing standards.
  • Ability to manage incoming telephone calls professionally, effectively and courteously.
  • Ability to plan, organize, prioritize, and complete multiple assignments while meeting established deadlines.
  • Ability to communicate effectively with diverse audiences through clear verbal and written communication.
  • Ability to maintain a positive and professional working relationship with colleagues, customers, and external stakeholders.
  • Ability to maintain contain confidentiality when handling sensitive and protected information.
  • Ability to effectively utilize agency-specific automated systems, and office technology to support daily operations.

 

MINIMUM QUALIFICATIONS

Required Licensure/Registration/Certification/Experience or Education:

  • Three years of secretarial/clerical work or is a Certified Professional Secretary.

 

MINIMUM QUALIFICATION SUBSITITUIONS:

  • College Education: coursework completed at an accredited college or university may be substituted for the required work experience. A total of 30 credit hours or 45 quarter credit hours is considered equivalent to one-year of qualifying work experience.
  • Vocational/Technical Training: Completion of vocational or technical training in office administration, or business studies may also be substituted for the required work experience. A total of 720 classroom hours of qualifying training is considered equivalent to one-year qualifying work experience.

Preferences will be given to:

  • Qualified applicants with fluent bilingual skills in English and Spanish.

BACKGROUND SCREENING REQUIREMENT
