The Work You Will Do:

Purchasing Agent / District 6 / North Dade Maintenance

 

Prepares, reviews and processes purchase orders/direct orders using Ariba system and/or Purchasing Card. Responsible for the timely and accurate processing of vendor invoices and warrants for the payment of services rendered. Prepares and processes fiscal paperwork according to established procedures. Receives and submits invoices for payments meeting state determined purchasing guidelines

Pay :

$1,503.76 - $1,946.04 /biweekly

 

A Competitive Area Differential (CAD) additive in the amount of $1,268.80 will be added to the annual salary.

 

Your Specific Responsibilities:

 

Acquire commodities and contractual services under bid threshold through informal quote, proposal, and single source processes through the state’s eProcurement system MyFloridaMarketPlace (MFMP) and Financial Management Service. Act as P-Card “Card Holder” for the unit and act as “requestor” on the State E-Procurement System Program and Financial Management Service (FMS). Input into systems on a daily basis or as necessary to achieve compliance with purchasing rules and procedures. Obtain competitive quotes/proposals as requested, either by telephone or in writing. Receive records and unpack a variety of store items. Check incoming materials for quantity and quality against purchase orders and /or invoices and place them in the proper storage area.

Prepare, review and process purchase orders/direct orders using Ariba system and/or Purchasing Card. Responsible for the timely and accurate processing of vendor invoices and warrants for the payment of services rendered. Prepare and process fiscal paperwork, i.e. Utility Invoice Transmittals, Contract Invoice Transmittals, Requisitions, travel forms, Individual Reimbursement Vouchers according to established procedures. Receive and submit invoices for payments meeting state determined purchasing guidelines.

Analyze procurement requests, review and evaluate quotes/proposals and issue Purchase Orders and written agreements. Compile and provide tracking/production data as requested in various forms and maintain procurement files.

Research the Florida Department of Transportation (FDOT) and State contracts computer support programs to locate Minority Business Enterprise (MBE) vendors, obtain quotes, and purchase commodities and services.

Provide budget information by management as requested to ensure spending meets budgetary requirements. Update budget analysis spreadsheets and prepare reports as needed. Reconcile budget and maintain budgetary records for the unit.

Resolve complaints generated during performance of contract or purchase order. Confer with personnel, users and vendors to discuss defective or unacceptable goods or services and determines corrective action.

Other Job-Related Requirements:

 

  • Responsible for adhering to the provisions and requirements of Section 215.422, F.S., related State Comptroller’s rules, and Department of Transportation’s invoice processing and warrant distribution procedures.
  • On an as-needed basis may be required during periods of emergency and/or disaster recovery upon requests by appropriate authority, to work beyond established work schedule at night and/or statewide including weekends.
  • In this position may work with or around Department of Corrections inmates.
  • During a declared emergency event, the incumbent will be required to assist the district as needed.
