Your Specific Responsibilities:

Must be highly motivated and able to multitask and provide excellent customer service. Will review referrals and schedule clients according to clinic rules. Will ask appropriate medical questions when interviewing clients without referrals to ascertain adequate medical history. Will coordinate and communicate with the referring entities. Will be using Eaglesoft electronic dental record system and the State record system. Will track, referrals and pre-authorizations if needed to provide excellent follow-up and continuity of care. Will perform data entry for the Dental Clinic in compliance with the rules established by Fiscal and Dental clinic supervisor.  Performs all duties under the general supervision of dental supervisor.  Works with the dental assistants and dentists to provide the best care possible for the clinic clients. Maintains proper security for records, computer information, patient information and procedures as indicated by the health department.


DENTAL CLINIC AND CLERICAL DUTIES

Will monitor supplies and inventories so adequate supplies are present.

Will oversee sterilization and patient care and report regularly to the supervisor

Schedules and confirms volunteer dentists and auxiliaries and locates back up dentists as needed

Sets up system to receive referrals from the local hospitals, Heart of Florida, volunteer dentists and outside clients

Reviews referrals for completeness and answers to the medical questions, communicates with referring entities if referral is not complete or more information is needed

Communicate with the referring entities as to the number of clients they may refer and when

Responsible for assuring that patient information is ready the specified number of days ahead of time and patients

Fill cancellations or broken appointments and maintains productive schedules

Document appropriate information in the client’s record

Make sure all necessary forms are ready for patient care

Scan the forms after client information has been entered and signature obtained

Scan in records for the conversion to electronic records

FAX information as necessary.

Obtain from client all information for referrals to other dentists/doctors and refer appropriately and track referrals

Lead action as per protocol for infection control incidents, general injuries, document as per policy.

Alert dental program manager or the designated dentist in the event of an infection control injury or accident.

Complete any documentation and follow up including but not limited to contacting personnel the following day

Process the electronic records, scan in documents, fax/mail referrals, complete pre-authorizations if there is insurance.

Track and confirm that referrals and pre-authorizations are completed and ready at the time of treatment and in a timely fashion

Document broken appointments and send letters/referrals back to referring entities as necessary.

Assure all encounter forms are completed and ready for the doctor to check.

Follows up on corrected encounter forms

Runs reports as needed and directed

Complete all necessary training as directed

Check and respond as necessary to email.

Complete any additional duties as directed by supervisor

 

DENTAL ASSISTING DUTIES

Will set up and breakdown rooms and complete sterilization in the clinic in accordance with dental clinic guidelines.

Will chairside assist as necessary.

Will expose and process x-rays

Will perform expanded duty assisting as needed.

Will triage all clients prior to scheduling

Will input all medical history information for the dentist

Will prepare the client for treatment by entering a clinical visit, taking vitals, ascertaining patient needs for the appointment, having the instruments ready for treatment, and x-rays properly taken and in the clinical visit and appropriate consents ready.

Will report any untoward events in the clinic according to dental clinic policy.

Will utilize proper barrier techniques as per OSHA guidelines. 

Will utilize proper barrier techniques including chin length face shield.

Will pass instruments while correctly retracting tongue and/or cheek; and while suctioning.

Will coordinate assisting methods, activities and actions with actions of the dentist.

Will adjust equipment and light source as needed by the dentist.

Will mix restorative materials and cements.

Will perform other duties as required by the dentist.

Will obtain the necessary emergency equipment and supplies as directed by the dentist and provide the assistance necessary in an emergency and in the emergency drills. Perform CPR if necessary.

 

Required Knowledge, Skills, and Abilities:

  • Must have a certified dental assistant degree from the State of Florida.
  • Must be able to recruit volunteers and interact with hospital staff, dental staff in a professional manner
  • Must maintain an active CPR card.
  • Must have a working knowledge of standard dental procedures, techniques and material used in the dental clinic.
  • Must have a working knowledge of OSHA standards, dental infection control and hazardous dental materials.
  • Must have a positive, helpful attitude toward dental director, dentist, students, other staff, patients and their families.
  • Must be able to work in a neat and organized manner.
  • Must be able to follow directions given by dental supervisor
  • Must be able to prioritize and organize job duties.
  • Must be able to work well with others, including completing necessary work.
  • Must be able to work in a busy clinic.
  • Must be able to work independently and interdependently
  • Must be able to work with, including teaching and demonstrating, students as directed by the dentist.
  • Must be able to explain directions and answer appropriate questions clearly and concisely.
  • Must be able to complete basic operation on the computer and be able to learn programs necessary for the dental clinic.
  • Must be alert to the activities of the clinic and patient care.
  • Must be able to maintain files.

 

Qualifications:

Minimum - 

Must be skilled in placing dental sealants, assisting dentist and working independently.

Must have Expanded Functions Dental Assistant (EFDA) Certificate (or be able to obtain one within two months)

Must have Florida Dental Radiography Certificate (or be able to obtain one within two months)

Must have Basic Life Support (CPR) Certification

Six months experience with customer service

Six months experience in dental assisting

 

Preferred - 

Graduate from a formal accredited dental assisting school

Bilingual
