Your Specific Responsibilities:
Compiles and analyzes data for administrative decisions. This includes researching, gathering data and resolving the Benefit Over Issuance report, Resolve Dual Enrollment report, Single User, Out of State Transfer report, Pending Certification report, Foster/Shelter Children report, Over Income/Ineligibility report, Income Verification – Other Add Note report, Short Certification, and Direct Distribution Formula Inventory report.
Conducts quality assurance record reviews to check for compliance with civil rights regulations and policies regarding limited language proficiency WIC clients. Provides additional support to supervisor on tracking annual trainings for staff, etc.
Inventory Coordinator: Maintains IT equipment inventory for all WIC clinic sites, and coordinates deployment. Assigns asset tags in Asset Management System. Processes dispositions of IT equipment after offering to state agencies. Completes and reconciles monthly inventories of Direct Distribution formulas, Breast Pumps, Breast Pump Kits and Accessories in all WIC clinic sites. Verifies WIC EBT Cards and VOC ID card inventories.
Represents the WIC Department on the DOH Marion Safety Committee. Provides safety updates and guidance to WIC department following committee meetings. Completes bi-annual fire drills of Belleview and Reddick WIC offices with DOH Safety Coordinator and Marion County Facility staff. Performs bi-annual safety inspections of all WIC locations.
Reporting: Prepares monthly expenditure reports for the Marion WIC program and submits to the state WIC office before the 12th of every month. Reviews reports for accuracy, confirms all charges appearing on report are allowable. Checks collated charges for appropriate matrix percentage is charged. Makes appropriate notification when errors or unallowable charges are found, tracks correction ensuring credits are received. Retrieves and maintains invoices associated with every charge on the WIC Monthly Expenditure reports. Completes Administrative Reports in required intervals.
Scheduling: Creates and maintains appointment templates for all WIC sites in the FL-WiSE Administrative site. Creates monthly schedule for all WIC sites at least six months in advance. Assists Public Health Nutrition Program Director with meeting the USDA Federal Processing Standards for pregnant women and infants. Analyzes WIC client schedules and adjusts appointments to ensure that pregnant women and infants are served within 10 calendar days of when they contact the WIC office.
Provides oversight to special formula procurement and office supply orders. Complies with the Prompt Compliance Payment Section 215.422, Florida Statutes & Chapter 69I-24, Florida Administrative Code.
Provides training to employees on available auxiliary aids for client services, including required documentation of use.
Promotes and support breastfeeding initiatives.
Performs other duties as assigned.
Required Knowledge, Skills, and Abilities:
- Knowledge of Florida WIC manual, policies, and procedures.
- The ability to apply general rules to specific problems to produce answers that make sense.
- Knowledge of basic bookkeeping procedures.
- Knowledge of principles and methods for curriculum and training design, teaching and instruction for individuals and groups, and the measurement of training effects.
- Knowledge of administrative and office procedures and systems such as word processing, managing files, designing forms, and workplace terminology.
- Ability to provide exceptional customer service.
- Skilled in giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- The ability to communicate information and ideas in writing so others will understand.
- Skilled in Microsoft Office Suite, including Outlook, Work, Excel and PowerPoint.
Qualifications:
Minimum -
At Least 2 years of WIC experience.
Valid Driver license
Least 5 years experience with Microsoft Office suite.
Least 2 years experience maintaing inventory and inventory reports.
Preferred -
Experience with FL-WISE
Experience with scheduling and modifying appointment templates
