Your Specific Responsibilities:

This position operates at Marion County Health Department under the direct supervision of the Records Management Analyst. This is a technical position which involves record management, excercising independent judgement and initiative in the application of departmental operations and procedures in the Vital Statistics Records Program of MCHD. This position requires the skill to provide outstanding customer service to both internal and external customers.

 

 Maintains current knowledge of State Vital Statistics Laws and Rules. Responsible for securing the designated information sets for the purposes of protecting confidentiality, data integrity, and appropriate access, for all information, both confidential and public record, which is stored in hard copy or electronic formats.  Serves as a deputy registrar for Marion County Vital Statistics – reviewing and issuing birth and death records from E-Vitals as instructed by the Bureau of Vital Statistics to clients, accounting for daily certificate usage, and reconciling daily cash drawer.  Provides face-to-face customer service daily, also answers telephone calls and takes messages as necessary.  Performs VitalChek requests.  Assists with inventory and audits.  Assures policy and procedures are followed. Provides backup support to the Chief Deputy Registrar (CDR) as needed by assisting with home birth processing or reluctant doctor cases.  

 

Processes purchasing for Vital Statistics office supplies utilizing AOD/MFMP.

 

Assist Administrative Services with courier runs including bank deposit drop offs.

 

Provides backup duties to the medical records department for switchboard and related duties.

Qualifications:

Minimum-

2 years experience working with Vital Statistics or confidential records

2 year experience in face to face customer service

6 months experience with Microsoft (Outlook, Excel, Word, One Drive)

 

Preferred-

Bilingual 

Ability to determine work priorities and ensure proper completion of work assignments

Knowledge and skills to reasonably safeguard information from any intentional use or disclosure

Ability to adjust to varying paces and departmental changes
