Our Organization and Mission
The Division of Hotels and Restaurants (H&R) licenses, inspects, and regulates public lodging and food service establishments in Florida under Chapter 509, Florida Statutes (FS). The division also licenses and regulates elevators, escalators and other vertical conveyance devices under Chapter 399, FS. The division’s three bureaus – Sanitation and Safety Inspections, Licensing and Elevator Safety – comprise a team of approximately 358 personnel fulfilling the regulatory obligations of the division throughout the state.

The Work You Will Do
This position works independently to process, track, and maintain district records and files, research reports, licenses and other related inquiries, performs technology duties including extensive knowledge and use of Versa: Regulation and OnBase, responds to complaints and inquiries from the public, and performs duties of the AAII as needed.
Responsible for document imaging of all documents using On-base. Responsible for creating files as assigned. Inputs data, scans reports, files inspection reports, and retrieves and copies files as needed.
Answers a busy multi-line telephone and distributes messages/complaints to employees. Researches or refers questions about inspection reports, license status or related inquiries. Answers information calls accurately. Assist with taking and logging complaints and service requests; refers them to appropriate personnel.
Opens and date stamps all incoming mail. Distributes mail to the proper section or employee. Prepares and mails all outgoing mail. Processes Certificate of Balcony Inspections by date stamping, copying, and returning stamped copies to the operators.
Responsible for tracking food borne illness complaints. Notifies the appropriate Department of Health personnel, if applicable, of the complaint. Logs complaints and notifies inspector.
Assists with preparation of district correspondence, and the preparation of recurring and special reports. Maintains special files for the district as directed.
Performs assigned duties of the AAII in their absence, including the handling of revenue.
Process all revenue receipts i.e. Temporary Events. Maintain a log of receipts that are processed and sent to Headquarters. Provide temporary receipts booklets for inspectors as needed.
Perform other related duties as assigned.
Minimum Requirements:
- One year of general office experience; and
- One year of computer experience to include proficient use of Microsoft Word and Excel; and
- One year of customer service experience assisting customers on the telephone or in-person.
Knowledge, Skills & Abilities
- Knowledge of administrative principles & practices, and office procedures applicable to Division of Hotels & Restaurants.
- Knowledge of the principles and techniques of effective communication.
- Ability to collect, track/retrieve & maintain data including but not limited to inspection reports and complaints.
- Ability to communicate effectively orally and in writing.
- Ability to establish and maintain effective working relationship with others.
- Ability to promote office efficiency & assist other staff as necessary to serve customers in a friendly and effective environment.
