Administrative Assistant II – Turnpike Enterprise

 

This position will perform a variety of administrative, research, and operational support duties to assist leadership. This role is responsible for handling special assignments, preparing reports, coordinating meetings, and ensuring efficient office operations within the Executive suite.

Your Specific Responsibilities:

 

Reports to the Administrative Assistant III in the Executive Director’s office. Provides daily administrative support to the Executive Director’s Office. Receives incoming calls to the Executive Office and routes inquiries to the appropriate personnel for handling. Coordinates the Executive Director’s electronic calendar; scheduling appointments and meetings for Directors and external agencies, greeting guests, as well as reserving meeting space. Reviews and processes various correspondences, invoices and other documents sent to the Executive Director for authorization and signature. Ensures documents are complete and properly prepared and in compliance with appropriate policies and procedures. Receives, reviews and routes inquiries which are received through the JustFOIA correspondent tracking tool. Compiles and assists in routing and tracking correspondence requests to designated departments for assistance. Provides on-going communication with legislators, public officials and customers regarding Turnpike plans, projects, and toll inquiries. Assists with conducting research on a variety of administrative matters. Maintains current information on Turnpike policies and programs and independently handles routine matters within established policies.

 

Serves as backup to the Administrative Assistant III assisting in needs of Executive Director and Senior Toll Analytics Manager. Help prepare and track travel, including making reservations and

submitting authorizations in the STMS and Works systems. Creates documents, reports, presentations, and prepares/reviews documents for signature. Assists with maintaining executive SharePoint site, personnel documents, in addition to Director files. Receives and distributes incoming/outgoing mail and deliveries. Updates and keeps current filing system adhering to the Department’s guidelines as they relate to records management.

 

Maintains the office supply inventory, monthly vehicle mileage logs, including maintenance and fueling of vehicles, annual physical inventory as well as electronic equipment for the Executive Director’s office. Prepares documents via hard copy and/or electronically in compliance with existing procedures and practices. Assists in preparation of Executive Meetings held at Florida’s Turnpike Enterprise Headquarters and offices in Pompano and Boca. Maintains mobile phone billing including signatures and payment. Serves as co-captain to the Safety coordinator attending meetings and being responsible for team coordination in emergency events. Assists with Emergency preparations as needed.

 

Performs special assignments, research and report preparation for travel related events, including hotel, airline and miscellaneous events. Calendaring meetings and items from Directors for the year ahead. Assists and works with Turnpike administrative assistants as needed.
