$34,873.00- $47,090.00 Annually            $1,341.26 - $1,811.15 Bi-weekly

Position Summary

This is an administrative position assisting the Regional Operations Manager in the operation of the Central Region. The employee provides administrative and fiscal support, researches and gathers data, prepares draft reports and correspondence, recommends and implements operational administrative systems, and works collaboratively with all Work Stream Leads and administrative support staff.

 

The Work You Will Do 

Manages correspondence, phone, and email communications, ensuring timely and accurate routing. It drafts routine reports and correspondence, maintains document filing, handles calls for the ROM/designee, and prepares meeting agendas and minutes assigned.

 

Serves as a liaison for the ROM with regional staff, maintains a tracker for staff assignments, coordinates meetings, helps the ROM meet deadlines, makes routine staff assignments, and assists with travel arrangements and reimbursements.

 

Creates and processes non-contracted invoices using IFS and ABC systems, completes office supply purchases via My Florida Marketplace, ensures provider enrollment, monitors invoice status, maintains invoice filing, and serves as a liaison between regional units, state office, providers, and consumers.

 

Collects and organizes operational data. Creates and maintains spreadsheets or other automated data collection systems to track performance regarding deadlines, workload and other administrative activity. Prepares a regular report of staff performance on key indicators such as timeliness to deadline assignments as assigned by ROM.

 

Provides support for other administrative staff and makes recommendations to the ROM for improvements in systems and routines. Observes administrative operations and makes recommendations to the ROM for improvements in systems and routines. Aids in problem resolution and troubleshooting. Provides training and technical assistance to staff regarding use of automated office equipment and administrative systems.

 

Minimum Qualifications

  • High school diploma or its equivalent.
  • Must have at least two years administrative or clerical experience.
  • Customer service experience.
  • Experience in using Microsoft applications.

 

Knowledge, Skills, And Abilities

Knowledge of:

  • Microsoft Office and programs including Outlook, PowerPoint, Word, Excel, Access.

 

  • Invoicing and accounting.

Ability to:

  • Develop and manage spreadsheets.
  • Track and schedule appointments.

As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program.  Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

Background Screening Requirement
