The Work You Will Do:
Processes purchases in My Florida Market Place Procurement System (MFMP). Reviews requisitions for compliance with Department policies and procedures, Chapter 287 Florida Statutes, Florida Administrative Code 60A and DFS memorandum upon receipt for input into the MFMP. Ensures that purchase requisitions, change orders, receiving of goods, invoice reconciliation approval, etc. are error free prior to submission into the approval chain. Performs regular inventories and orders supplies and materials as needed. Research requested purchases for price, quality, time and convenience considerations through My Florida Market Place and direct contact with vendors.
Verifies that vendors are approved. Provides applications and other documentation to vendors to become approved state vendors.
Oversee and manage the Division’s fleet. In accordance with Department procedure, gather, prepare, report, and maintain records of all vehicle expenses, usage, and maintenance.
Provide clerical support to all other areas of the division. Assist the public and consumers relating to various issues within the division. Prepare correspondence, documents, reports and racking spreadsheets for various sections within the division. Process and distribute copies and incoming faxes.
Provide assistance as needed for mail room, enforcement, and licensing sections, to include distribution and / or preparation of incoming or outgoing mail, data processing, copying and any other related duties. Receives and distributes incoming mail daily to administrator and unit staff. Ensuring that outgoing correspondence are addressed accurately and mailed on a timely basis. Maintains computer and hard copy documentation of equipment such as copiers, fax machines and communication devices.
Serve as back up to the Front Desk Receptionist for coverage as needed.
Perform other duties as assigned by supervisor, Director, and Deputy Director.
Order office supplies and carry out special assignments.
Perform other related duties as needed.
This is a professional position based in the downtown Orlando headquarters.
Knowledge, Skills, and Abilities:
• Knowledge of administrative principles and practices.
• Knowledge of general office procedures and practices.
• Ability to communicate effectively both orally and in writing.
• Knowledge of Microsoft Word, Outlook & Excel.
• Ability to prepare reports and correspondence.
• Ability to plan, organize and coordinate work activities.
• Ability to review data for accuracy and completeness.
• Ability to establish and maintain effective working relationships with others.
• Ability to maintain a valid driver’s license.
Minimum Requirements:
The Administrative Assistant II - CS should possess the following:
• High School Diploma
• 1 – 3 years of administrative experience.
• Demonstration of an ability to work in a professional environment.
• Intermediate in Microsoft Word, Outlook & Excel.
Preferred Qualification:
Preference will be given to those who can demonstrate one or more of the following: an interest in public service and a working knowledge of an electronic document records system, familiarity with state purchasing experience and managing a main phone line.
