This is an administrative position in the Orlando Medicaid Field Office, within the Bureau for Recipient and Provider Assistance within the Division of Medicaid, Agency for Health Care Administration.  The incumbent in this position is responsible for providing clerical assistance to Field Office staff. The incumbent in this position shall maintain up-to-date knowledge of the Florida Medicaid program and the operation of the Medicaid field office.

EXAMPLES OF WORK:
Provides administrative support to all units of the field office.
Performs basic clerical duties in the office. Utilizes Microsoft Office programs and inputs data in a timely and accurate manner.
Prints and prepares mailings for the field office. 
Assist the LTC facility liaison to facilitate contact with and tracking of recipients residing in Assisted Living (ALF) or Skilled Nursing (SNF) Facilities that are closing or have been terminated from the Florida Medicaid program.
Assist with creating, maintaining, and updating databases.
Receives, screens and routes telephone calls related to policy and procedures and shares the reception duty for the office.
Receives, screens, and distributes all incoming mail. Prepares, meters, and distributes outgoing mail.  Assures pick-up and delivery of mail.
Operates and/or utilizes a variety of standard business and office machines and equipment including computer, typewriter, mail meter, fax machine, copier, etc.
Assists staff with assembling training packets.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of principles of correct grammar usage.
  • Knowledge of administrative principles, office procedures, and basic filing practices.
  • Knowledge of methods of compiling, organizing, and analyzing data.
  • Knowledge of standard business formats and styles for letters and business forms.
  • Skill in typing and using office equipment.
  • Skill in working with various computer programs such as Microsoft Word, Excel, Access, and Outlook.
  • Ability to proofread typed material and other documents for errors and make necessary corrections.
  • Ability to plan, organize, and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with colleagues in a team environment.
  • Ability to work independently.
  • Ability to answer telephone calls and route calls appropriately.
  • Ability to organize files and other records.

 

MINIMUM QUALIFICATIONS:

  • One year of secretarial or office clerical work experience.
  • One year of work experience using Microsoft Office software applications (Word, PowerPoint, Excel, Outlook, etc.)
  • Possession of a professional secretary certificate, or completion of vocational/technical training in an area of secretarial science or office/business studies, or one year of college education from an accredited college or university can substitute for the year of work experience.
