The Work You Will Do:

Finance Administrative Secretary/Chief Financial Officer/Traffic & Revenue Audit Center

 

This position will assist with managing the overall administrative functions of the Office of the Chief Financial Officer, maintaining confidential records, and supporting Turnpike-wide initiatives. The ideal candidate will manage document organization, assist with event planning and communications, maintain supply inventory, and ensure compliance with records retention policies. This position also plays an active role in special committees and supports internal engagement efforts.

Your Specific Responsibilities:

Assists with managing the overall administrative functions of the Office of the Chief Financial Officer. Maintains confidentiality on all issues. Attend office staff meetings to keep staff and supervisors informed of administrative requirements and need-to-know information. Serves as the Finance liaison with Administration on Turnpike-wide initiatives including managing event calendars, communications, and invitations. Collect feedback to help improve future events and engagement initiatives.

 

Organizes and files documents for easy retrieval in the Office of the Chief Financial Officer file rooms and office space. Create databases, spreadsheets and/or documents as appropriate to track documents. Maintains office files system as mandated by the Records and Retention Schedule. Dispose of documents in accordance with the Retention and Disposal Schedule. Coordinates periodic file audits or clean-ups as directed.

 

Serves on and supports administrative support and special events committees such as Safety Coordination, New Employee Orientation, and Awards as needed. Assists in maintaining all phone/personnel and emergency contacts lists for Cost Centers.

 

Monitors all Office of the Chief Financial Officer document processing centers for adequate supply levels.  Initiates restocking of low supplies. Maintains the document processing centers in a clean and clutter-free environment.  Reports any equipment issues to Information Technology (IT) or the appropriate vendor and follows up until resolved.

 

Assists the Inventory Property Delegate for the Office of the Chief Financial Officer cost centers. Reviews records and reports which require action and recommends solutions or courses of action.
