This position will provide administrative support to the Customer Engagement & Strategic Initiatives Manager, Customer Experience Manager, and Strategic Business Development Manager on customer engagement, outreach, and marketing initiatives.

Your Specific Responsibilities:

Administrative Support: Provide administrative support to the Customer Engagement & Strategic Initiatives Manager, Customer Experience Manager, and Strategic Business Development Manager on customer engagement, outreach, and marketing initiatives. Schedule meetings, maintain calendars, and track deadlines. Organize special events, staff meetings, and seminars. Prepare and distribute meeting materials, manage correspondence, and track follow-up actions. Respond to phone calls, emails, and other communications. Support agency efforts to ensure professional and consistent communication across outreach activities.

 

Development and Management of Department Materials: Create, prepare, edit, and distribute outreach and internal materials including presentations, reports, manuals, research documents, and financial spreadsheets. Develop basic graphic content such as fact sheets, newsletters, and other transportation-related materials. Maintain department files, records, and content libraries in compliance with agency standards. Support financial and administrative processes, including timesheets, invoices, budgets, travel requests, and reimbursements. Ensure timely and accurate processing in accordance with agency policies.

 

Event and Meeting Coordination: Assist in planning and execution of internal and external events, meetings, training, and public outreach activities. Provide logistical support and actively participate in focus groups, public meetings, and community events. Handle correspondence and ensure timely communication with participants and stakeholders. Assist with research, data analysis, and special projects as needed.

 

Project Collaboration and Stakeholder Engagement: Work closely with project managers across multiple disciplines to advance department goals. Serve as a point of contact for internal and external stakeholders, building relationships and facilitating effective communication.

 

The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

 

Knowledge of:

  • administrative principles, office procedures, and practices
  • customer service and public outreach methods
  • event planning and meeting coordination

 

Skills in:

  • collecting, evaluating, and analyzing data related to administrative functions (budgeting, purchasing, reporting)
  • creating clear, accurate, and engaging outreach materials
  • Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with design or content creation tools
  • building and maintaining positive relationships with stakeholders and staff at all levels

 

Ability to:

  • exercise discretion when handling confidential or sensitive information
  • prepare correspondence, reports, and meeting documentation
  • develop basic graphic content such as fact sheets and newsletters
  • communicate effectively in verbal and written formats
  • interpret and apply rules, regulations, policies, and procedures
  • work independently, plan and organize work assignments, and adapt to changing priorities in a fast-paced environment
