SPECIFIC DUTIES & RESPONSIBILITIES:
- Retrieves, interprets, and establishes statistical, financial, and technical data into the various Criminal Justice computer systems in accordance with Department Policies & Procedures. The incumbent assists professional personnel responsible for the supervision of offenders in interpreting, analyzing, and categorizing this information.
- Uses independent judgment to analyze, verify and revise information from a variety of source documents from circuit and sub-offices into computer accepted formats using video terminal equipment of the Management Information Systems (MIS), National and Florida Crime Information Centers (NCIC/FCIC) and local Criminal Justice Information Systems (CJIS) and establishes this data, using standardized codes. Such source documents include offender files, court orders, law enforcement records, intake forms, sentence structures, transaction registers, cost of supervision payments and waivers, progress reports and management and officer identification statistics. Makes additions, changes or corrections to computerized offender records as required.
- Transmits and retrieves offender and applicant investigative information and communicates messages through Management Information Center (MIS), Florida Crime Information Center (FCIC) and National Law Enforcement Telecommunications Systems (NLETS) in accordance with Federal, State and Department Rules and Regulations, Procedures and Laws. Interprets retrieval replies to non-equipment users.
- Answers inquiries from authorized personnel in Department of Corrections and other agencies regarding Management Information Systems (MIS), National and Florida Crime Information Center (NCIC/FCIC) and Criminal Justice Information System data.
- Maintains familiarity with Criminal Justice Standards and monitors staff compliance for the staff and the office as designated.
- Complies with all security regulations regarding confidential and sensitive information. Maintains records of dissemination of information and completes NCIC/FCIC validation reports.
- Performs routine preventative maintenance of office equipment.
- Performs other duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to sort data alphabetically, numerically, and categorically.
- Ability to plan, organize, and coordinate work assignments.
- Ability to communicate effectively.
REQUIRED QUALIFICATIONS:
- Two years of secretarial or clerical work experience.
- College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience. Vocational/technical training in an area of secretarial or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
- A high school diploma or its equivalent can substitute for one year of the required work experience.
