This is a fast-paced clerical job for self-starters and independent workers

 

Duties & Responsibilities:

 

Provides clerical support for a multi-function Family Safety Unit.  This employee functions on an independent level while performing a variety of duties, which require initiative and sound judgment.

Meets the public as receptionist, in person and on the telephone.  Maintains a current working knowledge of the Department of Children and Families and community resources in order to screen and route clients and answer questions or complaints.

 

  1. Abuse Report Management
    • Receive, review, and assign all abuse reports from the Florida Abuse Hotline.
    • Notify appropriate supervisory personnel of case assignments.
  2. Data and System Coordination
    • Print and review abuse reports and Out-of-Town Inquiry (OTI) requests.
    • Use systems such as FAHIS, CIS, and FSFN to review prior or open investigations.
    • Verify child/family involvement with Access and Local Law Enforcement.
  3. Case Preparation and Assignment
    • Prepare intake case records for Child Protective Investigators (CPI).
    • Assign cases in FSFN and notify CPIs.
    • Follow the same procedure for OTI requests.
    • Assign cases to CPI or CPI Supervisor.
    • Package investigation information and conduct diligent searches.
  4. Clerical and Administrative Support
    • Provide general clerical support to a multi-function Family Safety Unit.
    • Archive case files, maintain rotation and case logs.
    • Maintain filing system, including preparing closed cases for transfer.
    • Type and submit correspondence, reports, and court-related documents.
    • Compile routine case correspondence and track required documents.
  5. Reception and Public Interaction
    • Serve as receptionist, greeting the public in person and on the phone.
    • Screen and route clients appropriately.
    • Answer general questions and complaints based on knowledge of DCF and community resources.
  6. Personnel and HR-Related Tasks
    • Type and submit personnel forms.
    • Process HR transactions using the designated State Automated System.
  7. Vehicle and Travel Oversight
    • Oversee state vehicles and related documentation.
    • Prepare mileage vouchers for Family Safety staff.
  8. Supply and Purchasing Management
    • Monitor and order office supplies and forms.
    • Handle purchasing tasks, including procurement of goods/services and processing payments.
  9. Mail and Documentation Handling
    • Date-stamp and distribute incoming mail promptly.
    • Compile files and create new case records for the unit.
  10. Meetings and Training
  • Attend staff meetings and job-related training sessions.

  • Perform additional related duties as assigned.
