Job Description:

The incumbent in this position will serve as a Word Processing Systems Operator in the Division of Blind Services District 9, Palmetto Office.  The incumbent will work using a computer to type letters, reports, forms or other material from rough draft, corrected copy or voice recording and may perform other clerical duties as assigned. This position serves as the primary receptionist for the Palmetto District Office. The incumbent in this position may also serve as a back-up Human Resource Liaison to the Staff Assistant as needed.  The incumbent may also assist with travel authorizations, reimbursements, p-card transactions, scheduling and securing travel accommodations, etc. as needed.
 

Examples of Work:

  • Types from rough draft, corrected copy or previous version displayed on a screen, using a computer.
  • Types from recorded dictation.
  • Addresses envelopes or prepares envelope labels, using a computer.
  • Gathers and arranges materials to be typed, while following instructions.
  • Adjusts settings for format, page layout, line spacing and other style requirements.
  • Checks completed work for spelling, grammar, punctuation and format.
  • Stores completed documents on a computer hard drive or on a data storage medium.
  • Prints and makes copies of work.
  • Files and stores completed documents.
  • Collates pages of reports and other documents.
  • Sorts and distributes mail.
  • Answers telephones.
  • Operates a duplicating machine.
  • Transmits work electronically to other locations.
  • Computes and verifies totals on reports/forms, requisitions or bills using an adding machine or calculator.
  • Keeps records of work performed.
  • Uses data entry device, such as optical scanner, to input data into computer for revision of editing.
  • Prepares travel authorizations, reimbursements, processes p-card transactions, secures accommodations such as rental cards, airplanes, hotels, etc.
  • Performs Human Resource duties such as preparing recommendation packets, routing personnel packets, assisting with hiring/recruitment activities such as scheduling interviews, etc.
  • Assists with fleet (state vehicle) duties including maintenance, vehicle/mileage reports, cleanliness of the vehicle, fueling the vehicle, etc.
     

Minimum Qualifications:

  • One year of work experience in the operation of word processing equipment; or
  • Two years of secretarial or clerical work experience; or
  • Completion of 720 classroom hours of vocational/technical training in word processing at an accredited institution, or
  • Possession of a Certified Administrative Professional Certificate.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required two years of secretarial or clerical work experience.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required two years of secretarial or clerical work experience.
  • A high school diploma or its equivalent can substitute for one year of the required two years of secretarial or clerical work experience.
     

Knowledge, Skills and Abilities:

  • Knowledge of correct spelling, punctuation and grammar usage.
  • Knowledge of letter, report and tabular formats.
  • Skill in typing.
  • Ability to operate word processing equipment.
  • Ability to use correct spelling, punctuation and grammar.
  • Ability to type letters, memoranda and other standard business forms in correct format.
  • Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
