The Work You Will Do:
This position is within the Panama City office, and often serves as the first point of contact for incoming guests and visitors and will provide assistance to stakeholders by responding to questions, providing general information, answering the main phone line, managing electronic calendars and performing general clerical duties such as data entry, and mail processing.

Where You Will Work:
This position is located at the Panama City branch office at 2420 Jenks Ave. Suite 4-B, Panama City, FL  32405. DEP’s Onsite Sewage Program (OSP) and Northwest District (NWD) Regulatory Program staff are collocated in the Panama City office. This position will directly report to the OSP Environmental Administrator, but will also work closely with Regulatory Program leadership to provide support to both OSP and Regulatory Program staff located within the Panama City office.

Position Specifics

  • Position Type - Other Personnel Services (OPS)
  • Pay - $18.00/hr
  • Weekly Hours - 40 hours a week
  • Biweekly Payroll

 

Your Specific Responsibilities: Provide general administrative support for Onsite Sewage Program (OSP) and Regulatory program staff located with the Panama City office to include:

  • Receiving and processing mail, scanning, routing and inserting into electronic document management system (currently Oculus.)
  • Input data into databases as required.
  • Process outgoing mail and packages for pickup as needed.
  • Assist with OSP and NWD Regulatory FLEET management to include ensuring that monthly vehicle inspections and maintenance is completed as required for all vehicles assigned to the Panama City office.
  • Assist with new hire process to include office preparation, new hire paperwork, taking photo of new employees for ID badge, ensuring office assignment floor plan and phone lists are updated with new employee information.
  • Assist with ordering of office supplies for OSP and Regulatory staff located in the Panama City office.
  • Greets and assists visitors to the Panama City office and/or directs them to appropriate team members as needed.
  • Answers phone and assist callers with general questions, provide requested information and/or provides alternate contact sources. Log call back requests, complaints, and concerns for Regulatory staff into NWD Inquiry/Complaint Tracker and refers OSP related calls as needed.
  • Assist with fulfilling public records requests.
  • Conduct annual inventory of equipment located within the Panama City office.
  • Other duties as required.

Minimum Qualifications

  • Valid Driver’s License.
  • Associate degree or certificate with a related focus OR 2 years of administrative and/or customer service experience.
