DESCRIPTION:
The duties and responsibilities of the Deputy Clerk I generally involve quality control of documents uploaded by OJCC staff; processing various reports; handling phone calls from district staff and the public; processing orders entered by judges; processing and uploading incoming mail; and cross-training for other positions. The duties may specifically include any or all of the following job functions:
- Detailed review of uploaded documents for accuracy;
- Case and docket management functions as required;
- Processing e-mail requests for database changes/updates;
- Processing and uploading incoming and outgoing mail;
- Generate a variety of reports on a daily basis and process appropriately;
- Perform petition processing as required;
- Answer telephone calls;
- Occasional coverage of various tasks for co-workers who may be out;
- Develop and maintains a system for tracking and monitoring deadlines.
KNOWLEDGE, SKILLS & ABILITIES:
- Proficiency with Microsoft computer programs, such as Word, Outlook, and Excel, and ability to learn the custom database program used for case management
- Proficiency with Adobe Acrobat;
- Outstanding attention to detail;
- High levels of concentration;
- Ability to work and collaborate in a team environment;
- Ability to communicate effectively verbally and in writing; and
- Ability to organize work and effectively manage time.
REQUIRED QUALIFICATIONS:
· Must possess a high school diploma or the equivalent.
PREFERRED QUALIFICATIONS:
· Experience in a legal setting is preferred.
· Strong communication, reading, writing, and organizational skills.
· Attention to detail, reliability, and punctuality.
Successful completion of Level 2 background screening is required for all positions with the Division of Administrative Hearings.
