Position Overview and Responsibilities:
This position provides support to the Director of District Management and leadership team, supports internal and external communication and educational outreach objectives.

  • Coordinates the processing of a variety of correspondence to include preparation of, reviewing and editing, investigating subject matter, and preparing replies, reviewing records and reports which require action, recommending solutions or actions, and coordinating special projects or activities.
  • Assists the Director of District Management and district staff with confidential matters, correspondence, rules, agreements and reports that originate from the Director of District Management’s office and/or from  staff.
  • Serve as the first point of contact by answering calls, conducting research when appropriate, taking messages, and routing calls as necessary.
  • Handle inquiries and requests directly whenever possible to support the Director of District Management.
  • Coordinates and oversees the Director of District Management’s meetings conferences, and appointments.
  • Coordinates District meetings and workshops by ensuring attendees are invited/kept updated on meeting/workshop events, ensures meeting room is scheduled and room is set up as needed.
  • Routinely attends district leadership, manager and planning meetings, compiles meeting summaries and action item reports outlining projects assigned to staff.
  • Develops and designs internal and external communication materials such as announcements, agendas, flyers, surveys, and district bulletin boards.
  • Coordinates the new employee welcome messages for the Intranet with input from hiring manager and HR team.
    Supports district communications through Intranet and Internet updates and coordination with other content contributors and administrators.
  • Support district outreach objectives through assisting with coordination of outreach events, recording meeting notes, developing meeting agendas, tracking outreach metrics, and ensuring follow up on action items, etc.
  • Coordinates special projects and events with the district leadership team.
  • Performs other duties as needed.

 

Required Knowledge, Skills, and Abilities:

  8. Skill and proficiency in computer operations and programs such as MS Word, Excel, PowerPoint, Access, SharePoint and Outlook.

 

Minimum Qualifications:

  • Valid Driver License and ability to travel overnight as needed.
    At least 2 years of verifiable related experience in Business Management or related field. Post-secondary degrees from an accredited college or university with a major in Business Management or related field may be used as an alternative for the required years of experience on a year-for-year basis. A credential evaluation report from an approved agency must be submitted along with all foreign degrees.
  • Pursuant to the sections 110.1127 and 435.04, Florida Statutes, and DEP Directive 422, Background Investigation, is required to successfully complete a background and fingerprint check.

Pay:

Annual salary - $ 40,000.00 - 42,000.00

The Northwest District is located along the Gulf Coast. We proudly serve 16 counties in the Florida panhandle including Bay, Calhoun, Escambia, Franklin, Gadsden, Gulf, Holmes, Jackson, Jefferson, Leon, Liberty, Okaloosa, Santa Rosa, Wakulla, Walton and Washington. This district has three offices located in Pensacola, Panama City and Tallahassee. This position is available in Pensacola located downtown at 160 W. Government St. Pensacola, FL., 32502.
