Your Specific Responsibilities:

This position works under direction of the Accountant and Business Manager to support a variety of front desk operations within the Taylor County Health Department (CHD). Duties include but are not limited to assisting customers, clerical and computer input, answering telephone, operating office equipment, collecting mail and shipments, collecting paperwork, eligibility determination, billing and payment processing. This position supports the Medical and Environmental Health (EH) section with customer support, clerical duties, and collection of payments. The incumbent uses working knowledge of all programs within the Health Department to assist a wide variety of customers with their needs. Attention to close detail and accurate data entry is critical to this position.

  • Provides front desk operations that support the medical clinic. Responsibilities include but not limited to appointment scheduling, insurance verification, eligibility determination of services, update patient demographic and financial information, record services in HMS, post payments, run daily reports, client check in/check out. Receives payments from exiting self-pay clients. Assist clients with completion of required forms ensuring accuracy. Collect and scan documents into patient records. Ensures date integrity entered in HMS is accurate. Assist with proper procedure of receiving medical records and processing medical records requests. Responsible for bill and accounts receivable for Medicaid and other insurance billings. Research denied claims, post payments to client’s accounts, apply sliding fee scale to balance due records and bill clients accordingly. Assist clients with questions and concerns regarding their accounts. Works with Volusia County billing to correct errors and provide required documentation.
  • Supports EH section by providing customer support and answering questions. Collects applications for permitting process of EH programs, including but not limited to OSTDS, Tattoo, Tanning, Parks and Mobile Homes, Biomedical Waste, and Food Hygiene. Assures all documentation submitted is accurate and complete. Responsible for data entry, and payment collection of EH programs and mails invoices prior to permit expirations. Runs reports for compliance records and outstanding balances. Schedules inspections for OSTDS program and assists contractors with status of submitted applications.  Assists with receiving water samples and ships to state lab in a timely manner. Confirms receipt of water samples and provides results to customers.
  • Vitals: Process all Birth and Death Certificates and ensure that proper documentation and policies and procedures established by the Bureau of Vital Statistics are followed. Completes daily and monthly reports to ensure they balance. Performs monthly inventory of safety paper.
  • Provides accountant with monthly utility invoices for prompt payment. Receives items in Ariba on Demand (AOD) as directed by supervisor. Assists supervisor with special projects as assigned.
  • Performs other duties as assigned.  Serves on a team to participate in disasters and/or emergency situations as required by the Florida Department of Health.

 

Required Knowledge, Skills, and Abilities:

  • Ability to provide excellent customer service skills.

  • Knowledge and ability to maintain 100% client confidentiality.
  • Knowledge of billing and insurance verification processes.

Qualifications:

Minimum - Candidate must be willing to work full time, in office. Knowledge and ability to follow HIPPA guidelines. Experience balancing and maintaining an accurate cash drawer. Experience with medical billing and determining insurance eligibility. Experience with use of an electronic health record to schedule various appointments and maintain accurate records.

Preferred - Basic knowledge of medical terminology. Experience working in customer service or medical receiption setting within the last 5 years. Bilingual in speaking Spanish.
