  • Must be available to work during natural disasters.
  • Ability and willingness to purge, file, move and lift boxes of medical records, which may weigh up to 30 pounds.
  • Proficiency in Microsoft Office Suite, especially Excel, Word and Outlook.
  • Must be organized, reliable and able to keep sensitive information confidential.
  • Knowledge of office procedures, Medical Records Retention, and Management.
  • Experience and desire to work in a fast-paced, team environment.
  • Successful completion of the due diligence process to include, but not limited to, a Level II background check and drug test.



Preference will be given to candidates with the following qualifications:

  • Accredited as a Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA).
  • Experience in long-term care.
  • Knowledge of documentation and legal issues pertaining to health information.
  • Knowledge and application of ICD-10-CM coding appropriate for long-term care (LTC).
  • Computer skills and understanding of information systems used in LTC.



The incumbent will report directly to the Nursing Home Administrator. The incumbent will be responsible for maintaining a system to process, control, retrieve, distribute and purge medical records in accordance with federal and state guidelines, policies and procedures. 

Participates in the development of facility policies and procedures and maintains current policy and procedures for medical records. Monitor physician visits and create physician’s resident list in a timely manner. 

Knowledgeable about state and federal regulations regarding, medical records release of information. Assist with credentials process.  Maintains all resident records and assembles discharged records. Analyze records for deficiencies, establishes, and uses follow-up deficiency tracking systems to monitor completion of the record. Ensures charts are completed and closed within 30 days. Performs monitoring and maintains documentation of all medical record functions. Files records as needed and assures that pertinent paperwork is signed as required and filed.

Manages the release of information functions for the facility in compliance with facility policies, standards of practice and legal standards.

Conducts orientation and in-service training sessions for clinical and other staff to enhance knowledge regarding health information management issues as needed.  Attends and participates in facility meetings to include the QA committee meetings.

Follows all Florida Department of Veterans’ Affairs (FDVA) policies and procedures and Homes Program standards and procedures.

Performs other duties as assigned to include maintaining the contract files.
