This advertisement is for a Career Service position located at the Region 1 Office Quincy, FL.
Salary: $38,934.48 – $40,556.36 Annual Range
SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.
SPECIFIC DUTIES & RESPONSIBILITIES:
- Prepare all correspondence, reports and other related documents for the Assistant Regional Director’s office.
- Receives incoming mail, copies and distributes as appropriate, composes replies not requiring the personal attention of the Assistant Regional Director; independently composes and signs various letters.
- Maintain the Assistant Regional Director’s calendar, arrange appointments, handle travel arrangements, and complete travel vouchers.
- Provides input, both oral and written, on meetings, conferences, seminars and training activities.
- Maintain a suspense system to track due dates on various reports and documents, maintains a document tracking system as appropriate on document distribution. This would include but not be limited to Corrective Action Reports and Protective Management recommendations.
- Maintain a current version of the Management Review Report Writer Programs and distribute to appropriate staff.
- Maintain documents/data on the personal computer and produce reports, graphs, spreadsheets and other such visual aids. Conducts research as appropriate.
- Monitor messages, reports, and other data received on the Corrections Data Center (CDC) network or other networked systems, distribute information as appropriate, draft responses as appropriate and once approved, transmit on the network.
- Serve as office administrative manager, ensuring appropriate supplies are available, handle staff leave and attendance records, maintain leave schedules for staff, maintain and submit vehicle reports as required, maintain property records, maintain current copies of department rules and procedures, and organize and maintain the office filing system.
- Assists in preparation for conferences or meetings on behalf of the Assistant Director, records official minutes of such meetings, prepares and distributes the final minutes.
- Performs other duties of a general clerical nature as assigned by the Assistant Director to include such duties as answering the telephone, greeting visitors and directing them appropriately.

REQUIRED QUALIFICATIONS:
- High school diploma or its equivalent and five (5) years of secretarial/clerical experience.
