THIS IS AN ANTICIPATED VACANCY
Your Specific Responsibilities:
This position will function as the Deputy Registrar for Vital Statistics program in a Department of Health public health unit issuing, editing, registering, certifying of birth, death, marriage, or divorce records.
Receives and reviews birth, death and fetal death certificates for completeness and accuracy submission within required time frame. Determines applicant eligibility for records and issues certified copies of birth and death certificates. Supervises, trains, and provides technical assistance to local sub-registrars, funeral directors, hospital record, physicians, and attorneys. Collects, records and process fees for records. Review and reconciles JT request from State Vital Statistics office in Jacksonville. Follow up with Client within 2 business days with response. Monitor usage of birth and death on certified paper and documents voided pages with report to Jacksonville. Maintain vital records according to state retention schedule along with updates on policies and procedures related to vital records.
Assist in preparing Quarterly Vital Stats report for Jacksonville and manager review. Assist in performing Annual Vital Statistics Self-Assessment Tool. Assisting in maintaining safety paper ordering, count, and logs
Responsible for sorting, stamping, and distributing all incoming and outgoing mail to departments.
P-Works Accountant - verify all documentation of expenditures, review with card holder any issues or flagged transactions with data, completes process by submission to state office daily. Resend any transactions un- flagged for processing within 24/48 hours.
Assist clerical staff with client intake, check out, financials, setting appointments, answers phone as backup to clerical operators, medical records and scanning documents.
Backup in assisting clients with applications for PEPW. Complete application, check financial eligibility, copy all required documents on a progress note, denial letter and follow-up with a phone call for any documentation or appointment.
Perform other administrative duties as required by management.
Required Knowledge, Skills, and Abilities:
- Ability to utilize equipment for: E Vitals System, HMS, P-Card guidelines, Flair, Scanning, Faxing, and phone operator.
- Ability to review data for accuracy and completeness.

Qualifications:
Minimum - At least two years professional experience in a customer service role.
At least one-year professional experience in an office/medical setting.
