Your Specific Responsibilities:

This position is classified as a frontline administrative support role responsible for assisting clients, managing information flow, and supporting operational functions within the Health Department. This role contributes to efficient service delivery by performing client intake activities, processing payments, maintaining accurate records, coordinating appointments across multiple programs, and providing backup support for vital records. Work is performed with independence and requires strong attention to detail, effective communication, and adherence to established procedures to ensure compliance and quality of service. This position reports directly to the Program Manager and supports departmental operations through related duties as assigned.

Customer Service & Client Intake
Greets and assists clients upon arrival, verifies intake information, and issues receipts for services. Provides general information, answers client questions, explains service costs, and informs clients of any past due balances while attempting collection when appropriate. Updates basic client information in HMS during check‑in. Handle incoming Health Department phone calls, providing information and directing callers to the appropriate staff or services.

Payment Handling & Cash Management
Accepts and records payments made by cash, check, or credit card. Maintains and secures the cash drawer, balances it daily, ensures accurate receipting, and enters billing information each day.

Data Entry & Records Management
Performs detailed data entry by entering and updating demographic, financial, and insurance information in HMS. Scans and uploads supporting documents, verifies insurance coverage using available databases, and maintains accurate electronic records. Supports Medical Records by copying, scanning, and faxing medical documents to legal entities or medical offices as needed.

Vital Statistics Backup Duties
Processes birth and death certificates by reviewing applications and supporting documentation for accuracy. Ensures the secure handling and proper accounting of certified paper used for issuing official Vital Statistics documents.

Appointment Scheduling & Program Support
Schedules and reschedules client appointments in HMS according to clinic templates, including services for Breast and Cervical, TB, Epilepsy, and Insulin program clients. Sends appointment reminders, mails program applications, determines program eligibility, and ensures financial and insurance information is accurate and complete.

Other Duties
Performs additional related responsibilities as assigned by management.
